Summary:
The Executive Assistant (EA) to the Managing Director (MD) will serve as a key support resource to the MD by providing high-level administrative, strategic, and organizational support. The EA must be proactive, discreet, and capable of handling a wide range of tasks with utmost professionalism. This position requires excellent communication skills, attention to detail, and the ability to manage sensitive information and high-pressure situations efficiently.
Key Responsibilities:
- Manage and maintain the MD's calendar, including scheduling appointments, internal/external meetings, travel itineraries.
- Provide daily briefings and coordinate priorities with the MD.
- Draft and manage correspondence, presentations, reports, and other documents as required.
- Answers and directs calls and emails of the MD of a general nature.
- Maintains physical and electronic office filing systems for MD.
- Act as a liaison between the MD and stakeholders namely KMPs, upper management, external agencies.
- Coordinate with senior leadership and cross-functional teams to follow up on strategic priorities and action items.
- Coordinate with teams for collating data and preparing presentations for management
- Pursue for sales reports on weekly, fortnightly & monthly basis
- Coordinate and monitor project timelines, milestones, and deliverables on behalf of the MD.
- Ensure that decisions taken by the MD are communicated and implemented across departments.
- Plan, organize, and coordinate internal and external meetings thru' latest communication medium namely zoom, MS Teams, etc.
- Prepare meeting agendas, take minutes, and follow up on action points.
- Manage contacts using Outlook to conduct up to date database entry. Track VIP relations and correspondence; facilitates relationships by familiarizing himself with various life events (such as birthdays, and other major milestones).
- Ensure all materials and logistics are managed seamlessly.
- Manage both domestic and international travel arrangements including visa processing, ticketing, hotel booking, and expense tracking.
- Handle expense reports and reimbursements accurately and in a timely manner.
- Handle confidential information with a high degree of integrity and discretion.
- Maintain complete confidentiality around the MD's personal and professional matters.
Key Competencies:
- Proficiency in Microsoft Office applications namely MS Word, MS Excel and MS Power point.
- Good communication and written skills especially in English. Should be able to independently handle correspondences, drawing Min of Meetings, synopsis, preparing reports etc.
- Converse on the latest communication platforms namely MS Teams, Zoom, Google Meet. Should be able to independently conduct virtual meetings using these applications.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- High level of integrity, professionalism, and judgment.
- Ability to work independently with minimal supervision.
- Strong interpersonal skills and ability to work with senior stakeholders.
- Attention to detail and a proactive approach to problem-solving.
Qualifications:
- Minimum BSC. Added MBA degree will be preferable.
Preferred Location of stay
We would prefer candidates staying between Borivali to Churchgate on Western side and between Thane to CST on Central side.
