Role & responsibilities
Office Support
- Act as the Managing Director's strategic assistant and confidante.
- Attend internal and external meetings alongside the Managing Director.
- Take detailed shorthand notes, prepare polished minutes, and ensure follow-ups are actioned.
Vendor & Stakeholder Management
Track deliverables, commitments, and agreements made in meetings.
Follow up with vendors, partners, and internal teams to ensure work progresses as agreed.
Escalate delays or unresolved matters with professionalism.
Office & Travel Management
Organise and streamline office operations with efficiency and style.
Arrange and coordinate domestic and international travel, including visas, flights, hotels, and itineraries.
Handle scheduling, calendar management, and correspondence with discretion.
Communication & Presentation
- Draft, edit, and proofread emails, letters, and documents with impeccable English.
- Maintain high standards of written and verbal communication.
- Act as a bridge between the Managing Director and internal/external stakeholders.
Special Projects
- Support in strategic initiatives under the Managing Director.
- Bring creative and organisational finesse to events, presentations, and office environment.
Preferred candidate profile
- Graduate with secretarial training and 5+ years of work experience as an Executive Assistant / Secretary.
- Skilled in shorthand, typing, MS Office/Google Suite, and general business correspondence.
- Excellent English communication both written and spoken.
- Strong organisational and time-management skills with attention to detail.
- Ability to work independently with discretion, grace, and absolute professionalism.
- A polished, refined presence with the ability to represent the Managing Director.
