
Executive Assistant To Director

Key Responsibilities:
1. Calendar Management and Scheduling:
Manage the Director's calendar, coordinating meetings, appointments, and travel arrangements
Prioritize and schedule appointments, meetings, and conferences based on importance and urgency
Ensure the Director is well-prepared for meetings by gathering necessary materials and briefing documents
2. Communication and Correspondence:
Act as the primary point of contact for the Director, handling incoming calls, emails, and inquiries
Draft and prepare correspondence, reports, presentations, and other documents as requested
Maintain effective communication with internal and external stakeholders on behalf of the Director
3. Information and Data Management:
Collect, organize, and maintain confidential and sensitive information, records, and files
Ensure the proper filing and retrieval of important documents and records
4. Meeting and Event Coordination:
Coordinate and make arrangements for meetings, conferences, and events
Prepare agendas, distribute materials, and take minutes during meetings as required
5. Travel Arrangements:
Coordinate and make travel arrangements for the Director, including flights, accommodations, and ground transportation
Prepare travel itineraries, documents, and coordinate with relevant stakeholders for seamless travel experiences
6. Project and Task Management:
Assist the Director in managing and tracking various projects, initiatives, and tasks
Coordinate with cross-functional teams and stakeholders to ensure timely completion of projects
Provide administrative support and follow-up on action items as needed
8. Other Duties:
Act as a liaison between the Director and other departments, executives, and external parties
Maintain a high level of professionalism, confidentiality, and discretion in handling sensitive information
Perform other ad-hoc duties and responsibilities as assigned by the Director
Qualifications and Skills:
Bachelor's degree or equivalent work experience
Minimum of 2-5 years of experience as an Executive Assistant or in a similar administrative role
Excellent written and verbal communication skills
Strong organizational and time-management abilities
Proficient in MS Office suite (Word, Excel, PowerPoint, Outlook)
Ability to handle multiple tasks, prioritize effectively, and meet deadlines
Exceptional attention to detail and problem-solving skills
Discrete, professional, and able to maintain confidentiality
Excellent interpersonal skills
