Key Responsibilities:

1. Calendar Management and Scheduling:

  • Manage the Director's calendar, coordinating meetings, appointments, and travel arrangements

  • Prioritize and schedule appointments, meetings, and conferences based on importance and urgency

  • Ensure the Director is well-prepared for meetings by gathering necessary materials and briefing documents

2. Communication and Correspondence:

  • Act as the primary point of contact for the Director, handling incoming calls, emails, and inquiries

  • Draft and prepare correspondence, reports, presentations, and other documents as requested

  • Maintain effective communication with internal and external stakeholders on behalf of the Director

3. Information and Data Management:

  • Collect, organize, and maintain confidential and sensitive information, records, and files

  • Ensure the proper filing and retrieval of important documents and records

4. Meeting and Event Coordination:

  • Coordinate and make arrangements for meetings, conferences, and events

  • Prepare agendas, distribute materials, and take minutes during meetings as required

5. Travel Arrangements:

  • Coordinate and make travel arrangements for the Director, including flights, accommodations, and ground transportation

  • Prepare travel itineraries, documents, and coordinate with relevant stakeholders for seamless travel experiences

6. Project and Task Management:

  • Assist the Director in managing and tracking various projects, initiatives, and tasks

  • Coordinate with cross-functional teams and stakeholders to ensure timely completion of projects

  • Provide administrative support and follow-up on action items as needed

8. Other Duties:

  • Act as a liaison between the Director and other departments, executives, and external parties

  • Maintain a high level of professionalism, confidentiality, and discretion in handling sensitive information

  • Perform other ad-hoc duties and responsibilities as assigned by the Director

Qualifications and Skills:

  • Bachelor's degree or equivalent work experience

  • Minimum of 2-5 years of experience as an Executive Assistant or in a similar administrative role

  • Excellent written and verbal communication skills

  • Strong organizational and time-management abilities

  • Proficient in MS Office suite (Word, Excel, PowerPoint, Outlook)

  • Ability to handle multiple tasks, prioritize effectively, and meet deadlines

  • Exceptional attention to detail and problem-solving skills

  • Discrete, professional, and able to maintain confidentiality

  • Excellent interpersonal skills
