Executive Assistant to Managing Director

Role Summary
The Executive Assistant will provide high-level administrative, operational, and strategic support to the Director. The role requires exceptional communication skills, strong organizational abilities, discretion, and the ability to work proactively in a dynamic environment.
Key Responsibilities
1. Executive Support
- Manage and prioritize the Director's calendar, appointments, meetings, and travel itineraries.
- Handle emails, calls, and communication on behalf of the Director.
- Prepare briefings, minutes, and action points for internal and external meetings.
- Draft correspondence, presentations, and reports as required.
2. Coordination & Communication
- Act as the single point of contact between the Director and internal/external stakeholders.
- Facilitate smooth information flow, follow-ups, and status tracking.
- Coordinate with cross-functional teams to ensure timely execution of tasks assigned by the Director.
3. Operational & Administrative Management
- Organize board meetings, reviews, and leadership meetings.
- Maintain records, documentation, and confidential files.
- Assist with project tracking, MIS reporting, and operational follow-ups.
- Support office administration, vendor management, reimbursements, and procurement relating to the Director's office.
4. Travel & Logistics
- Coordinate domestic and international travel, including tickets, accommodation, and visas.
- Prepare travel briefs, itineraries, and expense reports.
5. Strategic & Project Support (as applicable)
- Conduct research, prepare insights, and provide analytical support for decision-making.
- Assist the Director in monitoring key projects, deadlines, and business priorities.
- Support event planning, stakeholder engagements, and corporate communications.
Required Skills & Qualifications
- Bachelor's degree; MBA preferred but not mandatory.
- 4–10 years of experience as an Executive Assistant, Senior Administrator, or similar role.
- Excellent verbal and written communication skills (English + Hindi/regional language).
- Proficiency in MS Office (Excel, Word, PowerPoint), Google Workspace, and productivity tools.
- Strong organizational and multitasking abilities.
- High level of integrity, confidentiality, and professionalism.
- Ability to handle pressure, tight deadlines, and dynamic situations.

- Experience working with C-suite or senior leadership in Indian or multinational companies.
- Strong stakeholder management skills.
- Attention to detail and proactive problem-solving.
- Professional presence and ability to represent the Director's office effectively.
Compensation
Based on experience and industry standards in India — can be customized.
