Role Overview:


As our Associate Administrative Coordinator, you’ll manage critical day-to-day administrative tasks that keep our remote team running smoothly. Your responsibilities will range from handling meeting logistics and maintaining documentation to supporting cross-departmental initiatives. In addition, you’ll be prepared to step in and assist the CEO with scheduling, inbox management, and other executive support duties when needed. This dynamic role is perfect for someone who thrives in a high-growth, fully remote environment and is eager to take on new challenges as they arise.


Key Responsibilities:


Administrative Coordination:

  • Schedule and coordinate internal and external meetings, webinars, and virtual events.
  • Maintain and update team calendars, project timelines, and shared documents.
  • Assist in managing databases, spreadsheets, and project management tools for cross-functional teams.
  • Support the onboarding process of new employees, including setting up accounts and sharing relevant documentation.


Communication & Documentation:

  • Draft and edit correspondence, presentations, and reports as needed.
  • Serve as a point of contact for basic internal and external inquiries, responding promptly and professionally.
  • Assist in maintaining an organized digital filing system for quick information retrieval.


Executive Assistance (Temporary Coverage):

  • Provide backup support to the CEO during periods of high demand or absence of the primary Executive Assistant.
  • Manage the CEO’s calendar, schedule appointments, and prioritize requests.
  • Draft routine email responses, prepare meeting agendas, and document meeting notes.


Qualifications & Requirements:


Experience:


  • 1-3 years in administrative support, coordination, or similar roles; prior remote work experience is a plus.


Skills:


  • Strong organizational, multitasking, and time-management abilities.
  • Excellent verbal and written communication skills.
  • Proficiency with G Suite (Gmail, Docs, Sheets, Slides) and project management tools (e.g., Asana, Trello).
  • Comfort working autonomously in a fully remote environment.
