Job Description
Job Title: Head of Events (HOD) 
Location: PLaY Arena Sports and Adventure Pvt Ltd 
Department: Events 
Reports To: General Manager or Ast. General Manager 

Job Summary:  The Head of Events (HOD) is responsible for overseeing the planning, organization, and  execution of all events at PLaY Arena, including team-building activities, birthday  parties, corporate events, and special functions. This role requires a highly creative  individual who can serve as an MC, host events, and collaborate with the production  team to ensure high-quality outputs. The HOD will also manage customer relations,  particularly for birthday party bookings, and ensure seamless coordination of all event  aspects.  Key Responsibilities:  1. Event Planning and Execution:  ■ Design, plan, and manage a wide range of events, including team-building  activities, birthday parties, corporate functions, and special events.  ■ Serve as the lead MC and host for events, ensuring engaging and  interactive experiences for participants.  ■ Oversee the logistical aspects of events, including timelines, venue setup,  and resource allocation.  2. Customer Relations and Bookings:  ■ Interact directly with customers to manage event inquiries, particularly for  birthday party bookings and corporate events.  ■ Provide personalized event planning services to ensure that customer  needs are met and expectations are exceeded.  ■ Build strong relationships with clients, gathering feedback to continuously  improve services.  3. Team Leadership and Collaboration:  ■ Lead and manage the events team, including coordinators, facilitators, and  on-ground staff.  ■ Work closely with the production team to ensure creative ideas are  executed efficiently and meet the desired quality standards.  ■ Collaborate with other departments, such as F&B and activities, to deliver  a cohesive and exceptional event experience.  4. Creativity and Production Involvement:  ■ Bring creative ideas to the table for event themes, interactive elements,  and entertainment to make events memorable and unique.  ■ Involve directly in the production process, guiding the production team in  creating designs, setups, and other event outputs.  ■ Ensure that all elements of event production are aligned with the client’s  vision and company standards.  5. Team Building and Corporate Events:  ■ Develop and lead engaging team-building activities and corporate event  programs that foster collaboration, communication, and fun.  ■ Tailor events to meet the unique needs of corporate clients, offering  customized solutions that enhance team dynamics and company culture.  ■ Ensure the smooth execution of corporate functions, from workshops to  recreational events.  6. Budget and Financial Management:  ■ Prepare and manage event budgets, ensuring cost-effective use of  resources while maintaining high service standards.  ■ Negotiate with vendors, entertainers, and suppliers to ensure high-quality  services within budget constraints.  ■ Track expenses, forecast revenue from events, and optimize resource  allocation.  7. Marketing and Promotion:  ■ Work with the marketing team to promote events and boost bookings for  birthday parties, corporate functions, and other activities.  ■ Assist in developing promotional materials, event packages, and  campaigns to attract customers.  ■ Monitor market trends and customer preferences to innovate and offer  unique experiences.  8. Post-Event Analysis and Feedback:  ■ Conduct post-event evaluations to gather customer feedback and analyze  the success of events.  ■ Use insights to improve future events, ensuring continuous enhancement  of services and customer satisfaction.  Qualifications:  ● Bachelor’s degree in Event Management, Hospitality, Communications, or a  related field.  ● Minimum of 3-5 years of experience in event management, hosting, or a similar  leadership role.  ● Proven ability to lead events, MC, and engage audiences across various  functions, from corporate to family-oriented events.  ● Strong creative thinking skills, with a keen eye for detail and production quality.  ● Excellent customer service and interpersonal skills, with the ability to manage  client relationships effectively.  ● Strong organizational and multitasking abilities, capable of handling multiple  events simultaneously.  ● Budget management experience and strong negotiation skills.  Preferred Skills:  ● Experience in team-building activities and corporate event facilitation.  ● Knowledge of event production, lighting, staging, and design elements.  ● Ability to work in a dynamic, fast-paced environment, including weekends,  evenings, and holidays.  Benefits:  ● Competitive salary and performance incentives.  ● Health and wellness benefits.  ● Employee housing and education scholarship programs.  ● Opportunities for professional growth and development.
