Job Summary:
The Personal/Executive Assistant will provide high-level administrative support to the Director, ensuring smooth day-to-day operations, managing schedules, handling confidential information, and coordinating between internal and external stakeholders.
Key Responsibilities:
1. Administrative Support:
• Manage the Directors calendar, appointments, meetings, and travel schedules.
• Prepare reports, presentations, and other documents as required.
• Draft emails, letters, and internal/external communications on behalf of the Director.
• Maintain and organize records, files, and confidential documents.
2. Coordination & Communication:
• Act as a liaison between the Director and department heads, clients, vendors, and external stakeholders.
• Schedule and coordinate executive meetings, including preparing agendas and minutes.
• Follow up on action items and deadlines to ensure smooth execution of tasks.
3. Operations & Project Management:
• Assist in strategic planning, budgeting, and decision-making processes.
• Oversee daily operational tasks and ensure execution as per the Director's directives.
• Track project progress, deadlines, and key deliverables.
4. Travel & Logistics Management:
• Plan and arrange travel, including ticketing, accommodation, and itineraries.
• Ensure travel and event logistics align with business needs.
5. Data Management & Documentation:
• Maintain records related to business operations, financial data, and critical reports.
• Handle sensitive and confidential information with utmost discretion.
• Assist in preparing compliance and audit-related documentation.
6. Support in Business Development & Customer Relations:
• Assist in market research, client interactions, and maintaining business relationships.
• Manage follow-ups on client meetings and sales initiatives.
7. General Office & Personal Assistance:
• Assist in organizing corporate events, business meetings, and conferences.
• Provide support in personal and professional matters, including handling Director's personal commitments if required.
Required Qualifications & Skills:
• Education: Graduate/Postgraduate (Business Administration, Management, Commerce, or related field preferred)
• Experience: Minimum 5+ years of experience as a Personal/Executive Assistant, preferably in the automobile manufacturing or sheet metal stamping industry.
• Technical Skills:
o Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
o Knowledge of ERP systems is an advantage.
o Familiarity with automotive industry documentation and compliance is preferred.
o Attention to detail and ability to work under pressure
