Role Description

This is a full-time on-site role for a Personal Assistant located at Symbiosis International (Deemed University), Pune. The Personal Assistant will be responsible for providing high-level administrative and executive support to senior leadership, including calendar management, correspondence handling, and travel coordination. The role involves ensuring smooth daily operations of the Director's office, organizing meetings and documentation, and acting as a liaison between internal departments and external stakeholders. The Personal Assistant will also be expected to maintain confidential records, manage communications with professionalism, and support event planning and special projects as needed.

Experience: 2-7 years

Key Responsibilities

  • Manage the Director's calendar: schedule appointments, meetings, travel, and ensure timely reminders.
  • Handle all correspondence: drafting, editing, and dispatching letters, emails, reports, and memos.
  • Coordinate logistical support: travel arrangements (flights, lodging, ground transport), visas if required, meeting rooms, etc.
  • Prepare agendas, take minutes during meetings, follow up on action items.
  • Maintain efficient filing systems (digital and physical) and ensure documents are organised, accessible, and confidential.
  • Act as liaison between the Director and internal stakeholders (staff, faculty, students) and external stakeholders (partners, visitors).
  • Facilitate and coordinate events or functions under the Director's purview: planning, invitations, venue, material preparation, etc.
  • Assist with special projects, reports, presentations, briefings.
  • Manage sensitive/confidential information and maintain discretion in all dealings.
  • Anticipate the Director's needs, manage priorities, and ensure priorities are met with minimal supervision.

Qualifications & Skills

  • Bachelor's/Master's degree in Business Administration, Management, Arts, or related field. A higher qualification may be preferred depending on level of responsibility.
  • Strong communication skills, both written and verbal, in English; knowledge of local/regional languages (Hindi, Marathi) would be an advantage.
  • Excellent organisational, multitasking, and time‑management abilities.
  • High level of computer literacy: Microsoft Office Suite (Word, Excel, PowerPoint), email/calendar tools, sometimes presentation software, document management systems.
  • Good interpersonal skills to interact with various levels of management, faculty, students, vendors.
  • Ability to handle confidential matters with integrity and discretion.
  • Proactive, resourceful, ability to work independently as well as part of a team.

Job Type: Full-time

Pay: ₹30, ₹40,000.00 per month
