Job Title: Regional Administrative Manager

About the Role:

  • We are seeking a highly skilled and experienced Regional Administrative Manager to oversee the day-to-day administrative activities of our team.
  • You will be responsible for managing regional admin operations, including defining scope and Key Result Areas (KRA) for team members.
  • This role requires excellent communication and coordination skills, with the ability to work closely with immediate management to develop strategic program and project goals.
  • Direct reporting to the zonal admin head is required for day-to-day activities, incident management, and other responsibilities.
  • You will be responsible for monitoring and reporting key project activities, plans, and progresses to ensure seamless execution.
  • Effective call and discussion management is crucial in this role.
  • End-to-end exam day and non-exam day administrative activities management and team coordination are essential duties.
  • Zero incidents on exam day related to admin services must be ensured.
  • Support in recruitment, training, and talent development of team members is also required.
  • Control and monitoring mechanisms for admin teams within regions need to be defined and deployed.
  • Talent development of admin teams within regions is another key responsibility.
  • Standardizing processes at all exam venues is necessary.
  • Regional vendor management and support to the zonal head in finalizing contracts and vendor invoices are important tasks.
  • Publishing regular dashboards on key performance parameters to zonal admin heads and senior management is required.
  • Central point of contact for facility-related matters at the regional level is a critical duty.
  • Ensuring SLA/SLC at exam venues is a top priority.
  • Governance over VidZ/LISP partners, regular meetings, and closure of audit points require strong leadership skills.
  • Contract management is an essential responsibility.
  • Support in shortlisting prospective partners/venues identified by city heads based on defined parameters within regions is necessary.
  • Maintaining and monitoring legal compliances for all venues is a critical task.
  • Preparing and deploying contingency/BCP plans is another key duty.
  • Surprise checks at exam venues are required to ensure compliance.
  • Handling crisis situations effectively is a must.
  • Coordinating and managing with manpower agencies is also necessary.
  • Audit of exam venues is a critical responsibility.

Required Skills and Qualifications:

  • Excellent written and verbal communication skills.
  • Strong technical knowledge of electrical equipment.
  • Experience in soft services facility management.
  • Proven experience in facility operations and management.
  • Must have managed a team previously.
  • Experience in conflict management is beneficial.
  • Ability to work under extreme pressure and willing to travel.
  • Good liaisoning with police and other local government departments.
  • Awareness of laws related to facility compliance and operations.
  • Vendor management skills are essential.
  • Willingness to take complete ownership, responsibility, and accountability of assigned work.
  • Good computer knowledge, including Microsoft Excel, Word, and PowerPoint.

Good-To-Have Skills:

  • Professional certifications, additional language knowledge, and strong analytical and logical understanding.
