**Role Overview:** We are seeking an exceptional Support Specialist to provide high-level administrative support to our CEO, ensuring the smooth operation of the executive office. This role requires excellent communication skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.

Main Responsibilities:

Administrative Support:

  • Manage and maintain the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Screen and prioritize emails, phone calls, and correspondence for the CEO.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.

Meeting Coordination:

  • Coordinate and organize internal and external meetings, including preparing agendas, taking minutes, and ensuring follow-up on action items.
  • Assist in the preparation of materials for meetings, presentations, and conferences.

Communication:

  • Serve as the primary point of contact between the CEO and internal/external stakeholders.
  • Handle confidential information with discretion and professionalism.
  • Draft and distribute communications on behalf of the CEO.

Project Management:

  • Assist in managing projects and initiatives led by the CEO.
  • Monitor project progress and ensure deadlines are met.
  • Conduct research and provide insights to support decision-making.

Travel Coordination:

  • Arrange complex travel itineraries, including flights, accommodations, and ground transportation.
  • Prepare detailed travel itineraries and ensure all necessary travel documents are in order.

Office Management:

  • Oversee the organization and maintenance of the executive office.
  • Manage expenses and prepare expense reports for the CEO.
  • Ensure the CEO's office supplies and equipment are well-maintained and operational.
