Job Overview

We are seeking a highly skilled and experienced Administrative Executive Coordinator to join our team at MANN+HUMMEL.

About the Role

The successful candidate will provide administrative support to senior management, coordinating schedules, agendas, and appointments. They will also manage dynamic calendars, take minutes, and follow up on action items.

Main Responsibilities

  • Provide secretarial support to senior management, ensuring effective communication within the team and externally.
  • Coordinate schedules, agendas, and appointments for regional and global executives.
  • Manage calendars, reschedule meetings, and coordinate agenda updates.
  • Take minutes and follow up on action items when required.
  • Prioritize incoming topics, drive tasks with stakeholders, and report outcomes to executives.
  • Organize business trips and overseas travel for team members in cooperation with other M+H entities.
  • Handle incoming email, faxes, and post, screening phone calls and enquiries as needed.
  • Support leadership visitors with travel and accommodations.
  • Prepare reports and presentation materials in Word, Excel, and PowerPoint.
  • Project support and administration.
  • Develop and maintain office systems, including data management and filing.
  • Meet visitors of all levels of seniority.
  • Conduct background research and present findings.
  • Produce documents, briefing papers, reports, and presentations.
  • Liaise with external and internal staff.
  • Prepare agendas for business review meetings and leadership visits.
  • Organize and facilitate off-site quarterly meetings, taking notes and action points.

Your Profile

  • Bachelor or PG degree in Business Administration or any relevant field.
  • Superior communication skills, written and verbal, to address all levels effectively.
  • Fluency in English (written and spoken).
  • Interpersonal understanding, analytical thinking, organization awareness, self-control, and flexibility.
  • At least 8-12 years of relevant work experience.
