Front OfficeOperation

  • Has fullawareness manages and supervises all tasks of his/herstaff.
  • Direct work assignments of supervisoryand nonsupervisory personnel.
  • Inform otheroperating departments of matters related to Butler operationsnotably to ensure VIP status and other such information toHousekeeping Engineering Laundry Sales Food & Beverageetc
  • Schedule routine inspections by AssistantManagers of all butler/Front office areas including occupied andnonoccupied rooms.
  • Inspect guest rooms andpantries on a regular basis to ensure guest preferences aremet
  • Appraise appearance discipline andefficiency of all staff under directsupervision.
  • Ensure consumption of residentsupplies is under control.
  • Monitor and controlrelevant procedures including lost and found key controletc
  • Ensure Butlers deliver the Raffles touch byproviding proactive personalized service
  • Ensuretactful upselling is optimized and hotel products and facilitiesare utilized to the utmost by allguests.
  • Ensure butlers receive recognition fortheir efforts in the form of regularfeedback
  • Ensurelongstaying/specialattention/occasioncelebrating/repeat guests aretaken care of exclusively paying particular attention to theirneeds and requests
  • Cocoordinating with theEngineering Department about their routine maintenance of theequipment.
  • Overall controlling and supervisionof the Department.
  • Training and coordinationwith supporting Departments.
  • Make reports andrecommendations when required.
  • Supervise theFront Office/Butler team to ensure optimum occupancy and averageroom rate for the purpose of maximizingrevenue.
  • Maintain interdepartmentalrelationships to ensure seamless customerservice.
  • Maintain knowledge of credit policiesand procedures and liaise closely with Finance Department to ensurethat credit procedures are properly carriedout
  • Approve upgrades and specialamenities.
  • Maintain appropriate standards ofconduct dress hygiene uniforms appearance and posture ofdepartmental employees
  • Conduct comprehensivemonthly departmental meetings to include a review of procedures andevents which warrants special handling and detailedinformation
  • Work with the Human ResourceManager to ensure the departmental performance of staff isproductive. Dutiesinclude:

  Plan for futurestaffing needs and recruit in line with companyguidelines

Analyses training needs of Butlersand develop training programmers

Conductprobation and formal performance appraisals

Coach counsel discipline staff and provide constructive feedback tostaff

  • Adhere to OH&S policiesand procedures and ensure all direct reports do thesame
  • Log security incidents and accidents inaccordance with hotel requirements
  • Work withthe Finance and Director of Rooms in the preparation and managementof the departments budget andP&L.

  • Interviewselect and recruit Front Officeemployees

 

  • Identifyand develop team members withpotential

 

  • Conductperformance review with theteam

 

  • Constantlymonitor team members appearance attitude and degree ofprofessionalism

 

  • Preparedetailed induction programs for newemployees

 

  • Developconduct maintain all staff training programs for team membersfocusing on their development needs providing them with new skillsto meet the changing needs of thebusiness

 

  • Prepareweekly staff schedules keeping in mind anticipated businessoperating budgets and standards ofservice

 

  • Preparepayroll and gratuityreports

 

  • Conductmonthly departmental meetings to provide information to teammembers obtain their feedback rectify operation issues and providea regular forum for departmentcommunication

  • Bewell versed in hotel fire & life safety/emergencyprocedures

 

  • Attendall briefings meetings and trainings as assigned bymanagement

  • Maintaina high standard of personal appearance and hygiene at alltimes

 

  • Performother reasonable duties assigned by the Management of theHotel

Qualifications :

  • Degree in Tourism& Hospitality Management
  • Minimum 5years experience in a similar capacity in a luxury hotelenvironment with 3 years at an Assistant manager Level. Excellentreading writing and oral proficiency in Englishlanguage
  • Ability to speak other languages andbasic understanding of local languages will be anadvantage
  • Good working knowledge of MS ExcelWord &PowerPoint
