Job Summary:

The Executive Administrator will provide high-level administrative and operational support to senior management. This role involves managing schedules, coordinating meetings, preparing reports, handling correspondence, and ensuring smooth day-to-day operations of the executive office.

Key Roles & Responsibilities:

  • Executive Support & Calendar Management
  • Manage and organize executive calendars, meetings, and appointments.
  • Schedule and coordinate internal and external meetings, calls, and events.
  • Ensure timely reminders and preparation for meetings.
  • Communication & Correspondence
  • Act as the primary point of contact for executives with internal teams and external stakeholders.
  • Draft, review, and manage official correspondence, emails, and documents.
  • Maintain confidentiality in all business communications.
  • Reporting & Documentation
  • Prepare reports, presentations, and minutes of meetings for management.
  • Maintain and update executive files, agreements, and important company records.
  • Assist in MIS preparation and ensure accurate data management.
  • Office & Administrative Coordination
  • Coordinate travel arrangements, and itineraries for executives.
  • Manage office requirements related to executive operations.
  • Liaise with departments (HR, Accounts, Sales, Production, etc.) for smooth workflow.
  • Project & Task Management
  • Track ongoing process and ensure deadlines are met.
  • Provide research, data collection, and analysis support for management decisions.
  • Assist in strategic planning and execution of executive-level tasks.

Qualifications & Skills:

  • Bachelor's degree in Business Administration, Management, or related field.
  • Proven experience as Executive Assistant/Administrator/Office Coordinator.
  • Strong organizational and multitasking skills.
  • Excellent written and verbal communication.
  • Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
  • Ability to handle confidential information with discretion.
