Job Summary:
The Executive Administrator will provide high-level administrative and operational support to senior management. This role involves managing schedules, coordinating meetings, preparing reports, handling correspondence, and ensuring smooth day-to-day operations of the executive office.
Key Roles & Responsibilities:
- Executive Support & Calendar Management
- Manage and organize executive calendars, meetings, and appointments.
- Schedule and coordinate internal and external meetings, calls, and events.
- Ensure timely reminders and preparation for meetings.
- Communication & Correspondence
- Act as the primary point of contact for executives with internal teams and external stakeholders.
- Draft, review, and manage official correspondence, emails, and documents.
- Maintain confidentiality in all business communications.
- Reporting & Documentation
- Prepare reports, presentations, and minutes of meetings for management.
- Maintain and update executive files, agreements, and important company records.
- Assist in MIS preparation and ensure accurate data management.
- Office & Administrative Coordination
- Coordinate travel arrangements, and itineraries for executives.
- Manage office requirements related to executive operations.
- Liaise with departments (HR, Accounts, Sales, Production, etc.) for smooth workflow.
- Project & Task Management
- Track ongoing process and ensure deadlines are met.
- Provide research, data collection, and analysis support for management decisions.
- Assist in strategic planning and execution of executive-level tasks.
Qualifications & Skills:
- Bachelor's degree in Business Administration, Management, or related field.
- Proven experience as Executive Assistant/Administrator/Office Coordinator.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication.
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
- Ability to handle confidential information with discretion.
