Job Title: Assistant Manager – MICE Operations

Department: MICE (Meetings, Incentives, Conferences & Exhibitions)

Location: Ambience Mall, Gurugram, Haryana

Reports To: Manager – MICE / Head of Operations

Job Summary:

The Assistant Manager – MICE Operations will be responsible for end-to-end management of corporate group travel and event operations. The role involves planning, vendor coordination, cost management, client servicing, and seamless on-ground execution to ensure successful delivery of MICE projects. This is a full-time, on-site position based in Gurgaon.

Key Responsibilities:

i  Vendor Management:

  • Identify, negotiate, and finalize deals with hotels, transporters, DMCs, venues, and other service providers.
  • Maintain strong relationships with key vendors to ensure quality service and best rates.

ii      Itinerary Planning:

  • Design detailed and creative itineraries for domestic and international group movements.
  • Align itineraries with client objectives and budget requirements.

iii      Costing & Proposal Preparation:

  • Prepare accurate cost sheets and proposals for clients.
  • Ensure profitability while maintaining competitive pricing.
  • Finalize costing and coordinate for client approvals and billing.

iv      Client & Corporate Handling:

  • Serve as a key point of contact for clients during planning and execution phases.
  • Understand client requirements and ensure timely delivery of all arrangements.
  • Manage pre-event meetings, presentations, and post-event reviews.

v      On-Ground Execution:

  • Oversee and manage group movements on-site to ensure smooth execution.
  • Handle logistics, coordination with vendors, and client assistance during the tour/event.

vi      Post-Tour File Closure:

  • Complete documentation, vendor settlements, and final billing after trip completion.
  • Maintain records and MIS reports for operational tracking.

Key Skills & Competencies:

·      Strong negotiation and communication skills

·      Attention to detail and time management

·      Ability to multitask and manage high-pressure situations

·      Excellent interpersonal and client-handling skills

·      Proficiency in MS Excel, PowerPoint, and travel-related tools/software

Qualification & Experience:

·    Bachelor's degree in Tourism, Hospitality, or related field

·    3–5 years of experience in MICE operations or group travel management

·    Experience in handling both domestic and international destinations preferred.
