- **Administrative Support**
- Assist the procurement team with day-to-day administrative tasks.
- Maintain accurate and up-to-date procurement records and databases.
- Approve requisitions by reviewing the terms & conditions, order form/quote and ensure its meeting procurement process and policy requirements
- Manage correspondence with suppliers and internal stakeholders.
- **Supplier Management**
- Liaise with suppliers to obtain quotations and negotiate terms for low spend items.
- Monitor supplier performance and maintain a database of approved suppliers.
- Handle supplier queries and resolve issues in a timely manner.
- **Procurement Process**
- Ensure compliance with the organization’s procurement policies and procedures.
- Assist in the preparation of procurement documentation, including tender documents and contracts.
- Track and report on the status of procurement activities.
- Support the implementation of procurement strategies to optimize costs and efficiency.
- **Data Management and Reporting**
- Maintain procurement records, including contracts, and supplier onboarding document.
- Generate reports on procurement activities, spending patterns, and supplier performance.
- Assist in the analysis of procurement data to identify opportunities for cost savings and process improvements.
- **Stakeholder Communication**
- Communicate effectively with internal departments to understand their procurement needs and provide updates on order status.
- Coordinate with finance and accounting departments to ensure timely processing of payments
