Administrative Support Specialist - Global HR Operations

The selected candidate will provide administrative support for HR processes worldwide, collaborating with colleagues across multiple geographies and time zones.

Key Responsibilities:
  • Prepare and process employee paperwork for new hires, promotions, transfers, exits, and changes.
  • Maintain personnel records in compliance with legal requirements and internal standards.
  • Support onboarding and background verification including induction plans and welcome communications.
  • Manage employee documentation requests including verification letters, references, and visa invitation letters.
  • Deliver reporting on employee data (e.g. distribution lists, anniversaries, milestones).
  • Support internal audits with required documentation and timely response.
Requirements:
  • A bachelor's degree.
  • ~1–3+ years of relevant experience in HR operations, shared services, or a process-driven role.
  • Familiarity with Workday (preferred) or other HR ERP systems.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Outlook, Word, Visio).
  • Experience working in a professional services or multinational environment.
  • Fluent verbal and written English language skills are required. Proficiency in Japanese (both spoken and written) is also essential, as this role involves supporting China.
