Administrative Support Coordinator

The Administrative Support Coordinator plays a vital role in ensuring the efficient functioning of management operations at CT Automotive. This position requires exceptional coordination, communication, and multitasking skills to support leadership in achieving organizational goals.
Key Responsibilities:
• Manage schedules, appointments, and meetings for the management team, ensuring seamless coordination across departments.
• Prepare and distribute meeting agendas, minutes, and follow-up action items, promoting effective decision-making and collaboration.
• Handle correspondence, emails, and phone calls professionally and efficiently, maintaining a high level of discretion and confidentiality.
Document Management:
• Maintain and organize important documents, records, and reports, guaranteeing easy access and retrieval as needed.
• Assist in creating presentations, reports, and other documents, utilizing creativity and attention to detail to present information effectively.
• Ensure confidentiality and proper handling of sensitive information, upholding the highest standards of integrity and professionalism.
Coordination and Communication:
• Serve as a point of contact between management and internal/external stakeholders, fostering strong relationships and open communication channels.
• Coordinate across departments to ensure smooth workflow and timely completion of tasks, facilitating successful project execution.
• Support management in tracking project deadlines and milestones, providing proactive guidance and assistance as needed.
Event Planning and Logistics:
• Assist in organizing events, meetings, and conferences, considering every detail to create memorable and productive experiences.
• Manage travel arrangements, accommodations, and itineraries for the management team, ensuring hassle-free travel and accommodations.
Task Management:
• Monitor and manage management-assigned tasks and projects, ensuring timely execution and delivery of results.
• Provide progress updates and highlight any risks or challenges to the management team, facilitating informed decision-making and course correction as needed.
Process Improvement:
• Identify areas for improvement in administrative processes and suggest innovative solutions, driving operational efficiency and effectiveness.
• Support implementation of best practices to enhance productivity and streamline workflows, contributing to a more agile and responsive organization.
