Bid and Proposal Coordinator

This role is dynamic and will provide exposure to the full range of bid and proposal support.

  • You will support the business by working from templates and standard content to produce documents and supporting materials in response to RFPs/ITTs, adhering to the organization's standard processes and brand guidelines.
  • Under guidance from a Bid or Pursuit Manager, you will also support larger opportunities by ensuring the correct project management framework and/or 'virtual war room' is set up and managed, background research is completed, internal governance processes are followed, an action tracker is maintained with any issues escalated, and support the production of a high-quality final document and additional collateral.

Main Responsibilities:

  • Familiarity with the organization's guidelines, processes and brand guidelines to ensure all proposals and client collateral meet minimum standards.
  • Collaborate with client-facing teams to produce key collateral (Agenda slides, Proposal Documents, Presentation materials etc)
  • Link specialist skills from the wider team when appropriate (Research, Account Management, Design etc).
  • Manage the close-out process to ensure new content or credentials are captured.
  • Work with the Bid and/or Pursuit Manager to identify, agree and map out the appropriate project management process for each opportunity. Keep and update an action tracker, ensuring deliverables are met and any issues are escalated immediately.
  • Set up and maintain a 'virtual war room' in Miro to ensure key activities are completed and key information is captured and maintained throughout the pursuit.
  • Support regular calls with the client-facing teams during opportunities and take responsibility for updating the 'virtual war room'.
  • Work with the wider team to ensure key deliverables such as company and stakeholder research and the design process are completed at the right time.
  • Support client-facing teams throughout the process and follow the correct processes and methodologies to increase chances of success.
  • Manage the close-out process at the end of any bid or pursuit, including updating the CRM system.
  • Create first drafts of bid documents and any collateral to be sent to clients, working closely with designers.

Key Requirements:

  • Proficient in PowerPoint, Excel, and Microsoft office suite.
  • Strong communicator with the ability to develop effective working relationships with senior stakeholders and client-facing teams.
  • Proven project management skills with the ability to meet deadlines and attention to detail.
  • Able to manage multiple projects simultaneously and prioritize workload.
  • Self-motivated, proactive and able to work independently and collaboratively in a fast-paced environment.
  • A desire to continuously learn, improve and innovate, with a focus on identifying areas for automation.
  • Strong proofreading and editing skills.
  • Confident with collaborative technology platforms like live Office 365 documents or SharePoint. Experience with Miro is desirable but not essential.
