About This Role

We are seeking a highly organized and detail-oriented Executive Assistant to manage office administration tasks efficiently. The ideal candidate will have minimum 3+ years of experience in office administration, with excellent communication and interpersonal skills.

Responsibilities

This role involves coordinating office activities, operations, and ensuring compliance with company policies. Key responsibilities include drafting reports and correspondence, ordering office supplies, maintaining inventory, and managing phone calls, emails, letters, couriers, and packages.

Travel Management

The successful candidate will handle travel authorizations, accommodations, and conference registrations for employees. Additionally, they will audit and process travel expense claims, manage mileage reimbursement requests, and prepare monthly travel reports.

Vendor Management

This role requires resolving issues with vendors related to shipments, billing, and statements. The Executive Assistant will also handle quotations and contracts for services, ensuring timely renewals and approvals.

Event Planning

The ideal candidate will assist in managing events, meetings, professional development sessions, and other department initiatives.

Office Infrastructure Management

Key responsibilities include handling Annual Maintenance Contracts (AMCs), inventory management, and asset tagging.

Reporting and Communication

The Executive Assistant will submit timely reports and prepare presentations or proposals as assigned. They will also maintain effective communication with colleagues and stakeholders.

Preferred Skills and Qualifications

Excellent organizational and time management skills
Minimum 3+ years of experience in office administration
Strong communication and interpersonal skills
Knowledge of labor laws and compliance requirements
Ability to effectively manage vendor relationships and office facilities

Salary Estimate

Based on industry standards and location, we estimate the salary range for this role to be around ₹25 lakhs - ₹40 lakhs per annum.
