Job Overview

The Strategic Operations Lead will serve as a key advisor and project manager to the CEO, responsible for streamlining operations, managing strategic initiatives, and ensuring effective communication across all levels of the organization.

Key Responsibilities:

  • Strategic Planning and Support:
    • Serve as a trusted advisor to the CEO, providing high-level insights into company operations and external trends.
    • Assist in developing and executing strategic initiatives, tracking progress and ensuring alignment with business objectives.
    • Prepare materials for critical meetings, including reports, presentations, and agendas, ensuring the CEO is well-informed on key issues.
  • Project Management:
    • Lead cross-functional initiatives to ensure timely and effective execution of the CEO's priorities.
    • Manage high-impact projects, aligning them with overall business goals and ensuring seamless coordination between departments.
    • Act as a liaison between the CEO's office and various departments, facilitating effective communication and issue escalation when needed.
  • Executive Communication:
    • Draft, review, and edit correspondence, reports, and presentations on behalf of the CEO, maintaining a professional tone and style.
    • Ensure clear and consistent communication between the CEO's office and stakeholders, both internal and external, upholding confidentiality as required.
    • Facilitate internal communications by preparing memos, emails, and talking points for the CEO, promoting transparency and clarity.
  • Operational Efficiency:
    • Oversee the CEO's schedule, optimizing time utilization by prioritizing meetings and engagements.
    • Coordinate executive team meetings, offsites, and other critical events, ensuring follow-ups are completed and action items recorded.
    • Implement and refine office processes and workflows to enhance operational efficiency in the CEO's office.
  • Stakeholder Management:
    • Act as the primary point of contact for external stakeholders, including clients, partners, and investors, managing relationships on behalf of the CEO.
    • Represent the CEO in meetings, ensuring that action items are documented and communicated effectively.
    • Coordinate with external advisors, such as legal teams, auditors, or consultants, ensuring their collaboration aligns with the CEO's priorities.
  • Administrative Support:
    • Handle administrative tasks, including calendar management, travel arrangements, and expense reports for the CEO.
    • Manage sensitive information with discretion, maintaining confidentiality at all times.
    • Ensure the CEO's office is organized, with all documents and materials easily accessible and up-to-date.

Qualifications:

Education: Bachelor's degree in business administration, management, or a related field (Master's preferred).

Experience: 5+ years in a senior project management, executive assistant, or strategy role, ideally in a fast-paced corporate environment.

Skills:

  • Strong analytical and problem-solving abilities, with experience handling complex projects.
  • Exceptional communication skills, both written and verbal, with a demonstrated ability to present ideas clearly and concisely.
  • Proven ability to work well under pressure, meet deadlines, and multitask effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and other project management tools.
  • Highly organized and detail-oriented, with a proactive and adaptable attitude.

Salary: $120,000 - $150,000 per year, depending on experience.
