Job Role

The Hotel Operations Assistant plays a pivotal role in managing hotel and event logistics for training programs, ensuring seamless execution, effective budgeting, and an exceptional participant experience.

Key Responsibilities:

  • Identify, evaluate, and negotiate with hotels to host training programs, considering factors such as venue suitability, cost-effectiveness, and availability of amenities.
  • Manage hotel contracts, including accommodation blocks, meeting spaces, catering, AV requirements, and other service needs, to ensure smooth delivery of training programs.
  • Coordinate room bookings, check-in/check-out schedules, and special requirements of the training, maintaining open communication with stakeholders and vendors.
  • Liaise with hotel staff to ensure prompt resolution of any on-ground issues, providing timely support to training attendees.
  • Collaborate with internal stakeholders to understand event requirements, translate them into logistical arrangements, and ensure alignment with organizational goals.
  • Ensure training rooms are set up with required seating layouts, technical equipment, and materials, facilitating an engaging and productive learning environment.
  • Provide on-site support during training programs, addressing any queries or concerns from attendees, and ensuring their comfort and satisfaction.
  • Act as the primary point of contact for training attendees regarding hotel and logistics queries, offering personalized assistance and guidance.
  • Collect post-event feedback to continuously improve logistics management, identifying areas for enhancement and implementing data-driven solutions.
  • Work closely with vendors to deliver high-quality services, fostering strong relationships and leveraging expertise to drive business success.
  • Track expenses, manage invoices, and ensure adherence to training budgets, providing accurate financial reporting and actionable insights to stakeholders.
  • Prepare cost summaries and highlight opportunities for savings or efficiency improvements, enabling informed decision-making and strategic planning.
