
Effective Office Administrator

We are seeking a highly skilled Administrative Manager to oversee the daily support operations of our organization and implement efficient administrative procedures.
- Job Responsibilities:
- Develop and coordinate administrative procedures and systems, streamlining processes for optimal efficiency.
- Evaluate staff performance, providing coaching and guidance to ensure maximum productivity.
- Monitor inventory of office supplies, purchasing materials while adhering to budgetary constraints.
- Oversee facilities services, maintenance activities, and tradespersons (e.g., electricians).
- Organize and supervise other office activities (recycling, renovations, event planning, etc.).
- Manage housekeeping, security, pantry, and cleanliness within the organization.
- Ensure operations adhere to policies and regulations.
- Stay informed about organizational changes and business developments.
- Facilitate smooth information flow within the company to support other business operations.
- Negotiate with vendors and travel agents to secure the best prices.
- Coordinate employee travel itineraries and accommodations (domestic and international).
- Develop and manage vendor relationships, selecting vendors, coordinating delivery commitments.
- Source, reorder, and maintain housekeeping supplies and other inventory.
- Maintain and upkeep all office assets.
- Manage Annual Maintenance Contracts (AMCs).
- Establish and maintain good relations with government bodies and police officials.
- Track expenses to ensure compliance with cost budgets.
- Submit Administration Expense Reports to senior authorities.
- Implement EHS and fire safety measures.
Qualifications & Skills:
- Ability to work independently with minimal supervision.
- Excellent documentation skills using Microsoft Office tools.
- Strong interpersonal skills and willingness to communicate effectively with clients, colleagues, and management.
- Good time management skills, including prioritization, scheduling, and adaptability.
- Exceptional oral and written communication skills.
- Strong team player with expertise in administration support services.
- Proficient in mail communication and basic drafting skills.
- Proactive and reliable individual capable of performing well under challenging circumstances.
