Urgent Tendering Specialist

Job Description

We are looking to hire a Tendering Specialist to join our Procurement Department in Ahmedabad, India.

This person would need to efficiently manage and coordinate the end-to-end tendering process for Qatar Airways Group by ensuring timely execution of tender activities, facilitating Tendering Committee operations, maintaining compliance with internal governance, and supporting stakeholder communication and decision-making.

Responsibilities

- Manage all Qatar Airways tendering processes, including project coordination and correspondence on behalf of the Qatar Airways Group.
- Organize and facilitate weekly and ad-hoc meetings with Tendering Committee members and stakeholders; prepare agendas, record minutes, and communicate decisions to relevant parties
- Review documentation and correspondence from stakeholders to ensure accuracy and completeness prior to submission for Tendering Committee approval, guidance, or decision
- Draft and process Decision by Circulation (DBC) forms for committee approval
- Conduct weekly pre-committee briefings with the VP, Senior Manager, and Category Managers to provide tendering updates
- Prepare and circulate the fortnightly Open Tenders report to Category Managers for visibility and follow-up.
- Draft internal memos from the Tendering Committee to the GCEO or relevant stakeholders, as required
- Coordinate the collection of required signatures from the Tendering Committee Chairman and members for key documents, including:

- Expression of Interest (EOI) and Confidentiality Undertaking (CU)
- Delegation letters
- Letter of Acceptance (LA)
- Tender withdrawal and non-selection notices
- Tender award and single-source recommendation approvals

- Issue Letters of Acceptance to successful Tenderer(s)
- Maintain comprehensive trackers and reports, including:

- Monthly Open Tenders report
- Tender Awards, Letters of Acceptance, and Contract status tracker

- Collate and submit required documentation for internal audits or SAB reviews, obtaining prior approval from the Tendering Committee Chairman
- Undertake additional responsibilities assigned by the manager

Qualifications

- Bachelors Degree or Equivalent with Minimum 4 years of job-related experience
- Extensive experience in tendering administration and management
- Strong communication and coordination skills
- Proficiency in managing databases and contract trackers
- Experience in working in a rapidly changing environment
- Experience in aviation industry would be preferred
