We are seeking a highly organized and dynamic individual to join our team as a **Personal Secretary with Project Management Skills**. In this hybrid role, you will provide high-level administrative support to executives while managing key projects from initiation to completion. This position is ideal for someone who thrives in a fast-paced environment, has excellent multitasking abilities, and is skilled in both administrative and project management tasks.
**Key Responsibilities: Administrative Support**:
- Manage the executive’s calendar, schedule appointments, and coordinate meetings.
- Prepare and edit reports, presentations, and other documents.
- Organize and maintain confidential files and records.
- Arrange domestic and international travel, including accommodations and itineraries.
**Project Management**:
- Plan, organize, and oversee various projects to ensure timely delivery.
- Create project plans, timelines, and track progress using project management tools.
- Communicate with stakeholders to define project goals, scope, and deliverables.
- Monitor budgets, resources, and risks associated with projects.
- Document lessons learned and implement process improvements for future projects.
**General Coordination**:
- Act as a liaison between the executive, internal teams, and external stakeholders.
- Prepare agendas, take meeting minutes, and follow up on action items.
- Prioritize and manage multiple tasks simultaneously, ensuring deadlines are met.
**Qualifications and Skills:Education**:
- Bachelor’s degree in Business Administration, Project Management, or a related field.
**Experience**:
- 3-5 years of experience as a Personal Secretary, Executive Assistant, or Project Manager.
- Proven track record in managing projects successfully.
**Technical Skills**:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with project management tools like Asana, Trello, or Jira.
- Strong organizational and time management abilities.
**Soft Skills**:
- Excellent verbal and written communication skills.
- Strong problem-solving and decision-making capabilities.
- High attention to detail and ability to handle sensitive information with discretion.
- Ability to work independently and in a team environment.
**Preferred Qualifications**:
- PMP, PRINCE2, or similar project management certification.
- Experience working in a fast-paced corporate setting.
- Knowledge of additional languages (if applicable).
