Executive Assistant to CEO

Work directly with the Chairman/Managing Director to support all aspects of their daily work routine.
- Maintain the Executive calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.
- Draft, review, and send communications on behalf of company executive(s).
- Serve as a liaison between the Management, staff, and the public. This includes receiving and screening the MD’s/Chairman’s phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
- Determine priority of matters of attention for the MD/Chairman’s Office; redirect matters to staff to handle, or handle matters personally, as appropriate.
- Keep the Management advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Compose and prepare letters relating to routine correspondence directed to MD/Chairman’s office.
- Assist in the preparation and distribution of meeting agendas and materials; transcribe source material, prepare documents, reports, tables, and charts; prepare, reconcile, and submit expense reports, maintain paper and electronic filing systems; attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
- Manage personal appointment bookings for the MD/Chairman and coordinate personal tasks as needed.
- Follow up on all office tasks to ensure timely and effective completion.
- Utilize negotiation skills to manage relationships and handle agreements on behalf of the MD/Chairman.
- Leverage Google Workspace (Gmail, Google Calendar, Google Drive, Google Docs, Sheets, and Slides) effectively for day-to-day tasks, document management, scheduling, and collaboration.
**Eligibility**:
- Bachelor’s degree in any stream.
- Minimum 5 years of experience working as an Executive Assistant/Personal Assistant.
- Excellent negotiation skills.
- Strong knowledge and experience with Google Workspace (Gmail, Google Calendar, Google Drive, Google Docs, Sheets, and Slides).
- Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel).
- Exceptional English communication, writing, editing, and proofreading skills.
- Excellent organization and time-management skills.
- Open to extensive traveling.
