Designation: Executive Secretary toDirector

Location: Head Office Mumbai

Job Description/Desired Profile:

Would be responsible tomanage the Directors Office. Would beresponsible for calendar management requiring interaction with bothinternal and external customers and coordinate a variety of complexexecutive meetings Answer phones and directand guide all incoming calls promptly and efficiently.Communicate and handle incoming and outgoing electroniccommunications on behalf of the Director.Review and summarize miscellaneous reports and documents;prepare background documents and answer outgoing mail asnecessary. Prioritize and manage multipleprojects simultaneously and follow through on issues in a timelymanner Updating the Travel schedule and hotelreservations for Director & family as needed and informed bythe Travel Team. Ensure that all confidential& sensitive information is securely handled stored asappropriate & no such information is divulged or madeaccessible to unauthorized person. Coordinatevarious meetings from Directors office and look after day to dayactivities in Directors office. RecordManagement Over and above the defined roleexecuting additional tasks which are assigned on day to day basisby the Director and his family. OnlinePurchase of the Items as and when required by the Director and hisfamily Maintaining contact database of theDirector. Coordinate and followup on all tasksassigned by the top management within the allotteddeadlines Schedule and coordinate meetingsconferences conference calls internal sessions special eventsetc. Manage correspondences and communicationas per the instructions and maintaining confidentiality at alllevels. Research work for a work area given bythe Director. Organizing & coordinatingevents & conferences. Organize andmaintain the office filing system. Screen andpay the Invoices on time received for payment after the approvalfrom the Director.

Desired candidateprofile:

  1. Graduate with 8 years of relevant experience preferablyhaving diploma in Secretarial Practice.
  2. Proficiency in computer applications.
  3. Should be able to multitask.
  4. Shouldhave prior work experience in managing the above mentionedtasks.
  5. Knowledge of Internet
