Job Overview:
The Executive Assistant (EA) to the Director plays a critical role in ensuring the smooth operation of the office. The EA will manage the Director’s schedule, handle communications, and assist with various administrative tasks to support the organization’s goals.
Key Responsibilities:
Calendar Management:Schedule and manage appointments, meetings, and travel arrangements.Prioritize and coordinate the Director’s schedule effectively.Communication:Act as a liaison between the Director and internal/external stakeholders.Draft and proofread correspondence, reports, and presentations.Administrative Support:Prepare meeting agendas, take minutes, and follow up on action items.Maintain organized filing systems, both physical and digital.Project Assistance:Assist in project management tasks and coordinate with different teams.Research and compile information for reports and presentations.Office Management:Ensure the office operates smoothly by managing supplies and equipment.Support the onboarding of new staff members.Confidentiality:Handle sensitive information with discretion and professionalism.
Qualifications:Bachelor’s degree or equivalent experience.MBAProven experience as an Executive Assistant or in a similar role.Strong organizational and multitasking skills.Excellent written and verbal communication abilities.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.Ability to work independently and as part of a team.Skills:Time management and prioritization.Attention to detail and problem-solving skills.Adaptability and ability to work in a fast-paced environment.
