Job Summary:
We are seeking a highly organized and proactive Admin & Facility Manager to oversee and manage our administrative operations and facility management activities. The ideal candidate will be responsible for ensuring efficient office operations, vendor management, maintenance, and a safe, secure, and well-maintained work environment for all employees.
Key Responsibilities:
Administrative Management:
- Oversee day-to-day office administration tasks.
- Manage office supplies inventory and procurement.
- Coordinate with internal departments and external vendors for smooth operations.
- Maintain records, files, and documentation as per compliance requirements.
- Manage travel arrangements, meeting schedules, and event coordination.
- Handle lease agreements, renewals, and relationships with landlords/building management.
Facility Management:
- Ensure proper functioning of office facilities including housekeeping, security, utilities, and maintenance.
- Oversee AMC contracts, cleaning services, repairs, and renovations.
- Monitor safety, health, and hygiene standards in the workplace.
- Conduct regular inspections of facilities to identify issues and implement solutions.
Vendor & Asset Management:
- Manage vendor contracts, negotiations, and service level agreements.
- Maintain asset records and ensure timely maintenance or disposal.
- Handle procurement and ensure cost-effective purchases.
Budgeting & Reporting:
- Manage admin and facility budgets.
- Prepare and present monthly reports on administrative and facility operations.
Key Requirements:
- Bachelor's degree in Business Administration, Facilities Management, or a related field.
- 5+ years of experience in administrative and facilities management roles.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in MS Office and facility management software/tools.
- Knowledge of safety, compliance, and building maintenance procedures.
Preferred Skills:
- Experience in managing multiple office locations (if applicable).
- Knowledge of vendor and contract negotiation.
- Crisis management and emergency preparedness experience.
