Job Summary:

We are looking for an experienced and detail-oriented Admin Manager to oversee the administrative operations of our hospital in Mumbai. The ideal candidate will ensure that all non-clinical functions run smoothly, supporting both staff and patients while maintaining a safe, clean, and efficient environment. This role is critical to the daily operations of the hospital and requires excellent organizational, leadership, and communication skills.

Key Responsibilities:

General Administration:

  • Oversee all administrative and facility management activities within the hospital.
  • Ensure smooth day-to-day operations across departments including front office, housekeeping, maintenance, and security.
  • Implement and maintain hospital policies, procedures, and compliance protocols.

Facility & Infrastructure Management:

  • Ensure proper maintenance of hospital facilities including wards, OPDs, ICUs, diagnostic areas, etc.
  • Coordinate repairs, renovations, and preventive maintenance of equipment and infrastructure.
  • Ensure power backup, water supply, sanitation, and biomedical waste management are functioning effectively.

Staff & Vendor Management:

  • Manage non-medical staff including housekeeping, security, receptionists, etc.
  • Coordinate with vendors for housekeeping, cafeteria, laundry, ambulance, pest control, and other services.
  • Monitor vendor performance and renew or negotiate contracts as needed.

Inventory & Procurement:

  • Oversee procurement and inventory of non-clinical supplies such as stationery, uniforms, utilities, etc.
  • Ensure cost-effective purchasing while maintaining quality and timely supply.

Compliance & Safety:

  • Ensure adherence to hospital accreditation standards (NABH/JCI, if applicable).
  • Manage fire safety, health and hygiene protocols, and emergency preparedness.
  • Ensure compliance with local municipal, safety, and environmental regulations.

Patient & Visitor Services:

  • Ensure smooth functioning of patient admission, discharge, and billing support services.
  • Address and resolve patient/attendant queries related to non-clinical services.
  • Maintain a welcoming and efficient front desk/reception environment.

Qualifications & Experience:

  • Bachelor's degree in Hospital Administration, Business Management, or a related field (MBA preferred).
  • Minimum 5–8 years of experience in hospital administration or facility management.
  • Familiarity with hospital operations, regulatory norms, and patient-centric services.
  • Strong leadership, problem-solving, and communication skills.
  • Proficiency in MS Office and hospital management systems (HMS).

Preferred Skills:

  • Knowledge of NABH/JCI standards.
  • Experience working in multi-specialty or tertiary care hospitals.
  • Fluency in English, Hindi, and Marathi.
