Purpose of Role:

The purpose of the Operations Officer is to support and optimize the end-to-end operational processes related to the distribution of ICT products and services. This includes coordinating inventory management, order fulfillment, logistics, and supplier/vendor relations to ensure timely and accurate delivery of products. The role also involves maintaining data accuracy, streamlining workflows, ensuring compliance with company standards, and contributing to service excellence and operational efficiency. The Operations Officer acts as a key link between sales, logistics, procurement, and customer service teams to drive smooth and scalable distribution operations.

What You'll Do:

Sales Order Management:

  • Process sales orders accurately and in a timely manner.
  • Ensure all necessary documentation for sales orders is complete.

Customer Engagement & Support:

  • Engage customers regarding product inquiries and order status.
  • Resolve any issues or complaints customers may have.

Administrative Support for Sales Team:

  • Assist the sales team with preparing sales reports.
  • Maintain customer databases.
  • Coordinate sales meetings or events.

Inventory & Stock Coordination:

  • Coordinate with the warehouse or inventory team to ensure adequate stock levels for customer orders.
  • Maintain accurate inventory records.

Inter-Departmental Liaison:

  • Act as a liaison between the sales team and other internal departments (e.g., marketing, logistics, finance).
  • Ensure smooth communication and coordination of activities across departments.

Documentation & Record Keeping:

  • Maintain sales-related documentation and records (e.g., contracts, agreements, customer correspondence).
  • Ensure all records are organized and accessible.

External Partner Coordination:

  • Coordinate with vendors, suppliers, and partners to fulfill customer orders.
  • Arrange deliveries and resolve issues related to product availability or delivery schedules.

CRM Utilization:

  • Utilize Customer Relationship Management (CRM) software to track customer interactions.
  • Update customer profiles and maintain accurate sales records in CRM.

Process Improvement:

  • Identify opportunities for process improvement and efficiency enhancements within the sales department.
  • Implement solutions to streamline operations and optimize results.

Financial Coordination:

  • Coordinate payment processes and plans with both clients and suppliers.

Relationship Management:

  • Maintain strong relationships with Key Partners/Clients and suppliers to ensure smooth operational tasks.

What We're Looking For:

  • Bachelor's degree in Business Management or a related field or a related field.
  • 3-5 years in a sales coordination/operations role, preferably in the Distribution Industry.
  • Experience with CRM software and process improvement.
  • Familiarity with tools such as Google Analytics, Excel, ERP systems, and marketplace dashboards is advantageous.
