Job Overview
This is a full-time, mid-level Receptionist Cum Assistant position located in Andheri. The ideal candidate will have 4 to 6 years of relevant work experience and will be responsible for both front-desk operations and providing comprehensive administrative support to ensure smooth office functioning at Goel Power Engineers.
Qualifications and Skills
- Proven experience of 4 to 6 years in receptionist, administrative, or assistant roles within a corporate environment, demonstrating reliability and professionalism.
- Demonstrated expertise in calendar management (Mandatory skill), ensuring timely scheduling and coordination of appointments, meetings, and commitments.
- Strong document management skills (Mandatory skill), with a proven ability to organize, store, retrieve, and archive both physical and digital records efficiently.
- Experienced in making comprehensive travel arrangements (Mandatory skill), including booking tickets, hotels, transportation, and managing complex itineraries.
- Excellent customer service skills, providing a warm and professional first point of contact for clients, visitors, and internal stakeholders.
- Competent in inventory management to oversee office supplies, maintain stock levels, and ensure timely replenishment for uninterrupted operations.
- Skilled in purchase order processing, with the ability to coordinate requisitions, process orders, and follow up with vendors as required for office needs.
- Adept at meeting coordination, including preparation of agendas, taking minutes, and ensuring all logistical requirements are met for internal and external meetings.
- Proficient in vendor coordination, establishing positive relationships with suppliers and service providers to facilitate seamless office administration.
Roles and Responsibilities
- Serve as the primary point of contact at the front desk, greeting visitors and directing them appropriately while maintaining a professional and welcoming reception area.
- Manage executive and team calendars, schedule appointments, arrange meetings, and prioritize tasks to support efficient office operations.
- Oversee comprehensive document management by organizing, filing, and archiving physical and electronic records in accordance with company protocols.
- Coordinate and execute travel arrangements for staff, including air and rail bookings, accommodations, and local transportation while adhering to travel policies.
- Process purchase orders, coordinate with vendors, follow up on deliveries, and handle discrepancies to meet office and departmental requirements.
- Monitor office inventory, initiate purchasing requests, and ensure adequate stock levels of supplies are maintained.
- Prepare and distribute meeting agendas, take minutes, and ensure effective follow-up on action points with all stakeholders.
- Facilitate communication between internal teams and external vendors to ensure smooth workflow and timely resolution of issues.
- Assist with general office administration tasks, including mail handling, courier management, and logistical support for company events and functions as required.
