Job Description:

As a Personal Assistant cum Executive Assistant, you will play a pivotal role in ensuring the smooth operation of both professional and personal aspects of the owner's life. Your responsibilities will encompass a wide range of tasks aimed at optimizing the owner's efficiency and time management.

Key Responsibilities:

1. Appointment Management:

  • Schedule and manage business meetings, doctor appointments, and salon appointments efficiently and any relevant appointments to the owner's needs and requirements.

  • Coordinate and synchronize calendars to ensure no conflicts arise.

2. Household Coordination:

  • Serve as a liaison between the owner and household staff, facilitating communication and task delegation.

  • Create and maintain checklists to ensure household tasks are completed timely and accurately.

3. Travel Planning:

  • Develop comprehensive travel plans, including flight bookings, accommodation arrangements, and car reservations.

  • Interface with travel agents to negotiate and finalize travel details, ensuring the owner's comfort and convenience.

4. Technology Proficiency:

  • Utilize tech-savvy skills to research and explore online resources for various needs, such as ordering items and gathering information.

  • Demonstrate proficiency in Microsoft Word and Excel to create documents, spreadsheets, and reports as required.

5. Communication:

  • Effectively communicate verbally, via email, and messages to convey information and instructions clearly and promptly.

  • Maintain professionalism and clarity in all communications, both internal and external.

6. Vendor Management:

  • Interact with vendors to negotiate terms, place orders for personal items, and ensure timely delivery.

  • Exercise strong negotiation skills to obtain the best deals and value for the owner.

7. Office Organization:

  • Maintain an organized inventory of stationery supplies, replenishing items as needed to support office operations.

  • Ensure the smooth functioning of office systems and equipment to facilitate productivity.

8. Attendance and Reliability:

  • Demonstrate a high level of reliability and commitment by maintaining full attendance and minimizing unplanned leaves.

  • Prioritize tasks efficiently to meet deadlines and fulfill responsibilities effectively.

Requirements:

  • Proven experience as a Personal Assistant/Executive Assistant, preferably in a similar capacity.

  • Exceptional organizational and multitasking abilities, with a keen eye for detail.

  • Strong proficiency in technology, including Microsoft Office Suite and online research tools.

  • Excellent communication skills, both verbal and written, with the ability to interact professionally at all levels.

  • Demonstrated capability to maintain confidentiality and handle sensitive information discreetly.

  • Proactive mindset with the ability to anticipate needs and take initiative to address them promptly.

  • Flexibility to adapt to changing priorities and work effectively under pressure.
