Job Title: Pre-Sales & Sales Admin Coordinator
Reporting to:Head Marketing for Pre-sales / Head CRM for Sales Admin Coordination
Role Purpose: To act as the bridge between incoming leads and sales execution, ensuring timely lead capture, first response to the lead and allocation to sales team for site-visits, and follow-up until closure, while also maintaining accurate documentation, booking records, and sales MIS. The role combines customer-facing discipline (pre-sales/IVR) with backend support (sales administration) to ensure the Sales function is both responsive and compliant.
RESPONSIBILITIES
Pre-Sales (Lead Management & IVR SPOC)
Attend and qualify all incoming IVR calls and campaign-generated leads.
- Capture and allocate leads into 4QT system daily, ensuring no lead remains unattended.
- Track and escalate leads not followed up within SLA.
- Generate weekly funnel reports (lead site visit, booking).
Provide feedback to Marketing on lead quality trends.
Sales Administration (Documentation & Coordination)
Validate booking application forms for completeness (KYC, signatures, payment plans).
- Maintain and digitize a repository of all sales-related documents.
- Coordinate with CRM and Finance to align on payment plans, deal approvals, and booking entries.
- Standardize sales templates (application forms, payment plans, approval sheets).
- Prepare weekly MIS reports for Sales leadership (pipeline, approvals, deviations).
Any other support required by the Senior Management from time to time.
Key Skills & Competencies
- Excellent communication (customer-facing IVR + coordination with internal teams).
- Strong attention to detail and documentation accuracy.
- Familiarity with CRM/ERP systems (preferably 4QT).
- Analytical mindset for MIS and funnel reporting.
- Ability to multitask between customer interaction and backend admin responsibilities.
Performance Metrics (KRA/KPI)
- % of leads logged in 4QT within SLA (target: 100%).
- Lead follow-up TAT and conversion ratios (lead site visit, lead booking).
- % of complete and error-free booking documents.
- Accuracy and timeliness of weekly Sales MIS.
- Zero cases of unallocated or undocumented leads/bookings.
Qualifications & Experience
- Graduate (any discipline).
- 2-4 years experience in pre-sales/tele-calling and/or sales admin support (real estate/BFSI/education preferred).
- Prior exposure to CRM tools and MS Office essential.
