Position Overview:
We are seeking a highly organized, proactive, and detail-oriented Personal Assistant to support the senior management team at our hardware product manufacturing company. This is a great opportunity for someone with excellent multitasking skills who can handle a variety of administrative tasks with professionalism and efficiency.
Key Responsibilities:
- Administrative Support:
- Manage and organize the daily schedule, meetings, and appointments for senior executives.
- Handle incoming and outgoing communication, including emails, phone calls, and other correspondence.
- Prepare, review, and format reports, presentations, and other business documents.
- Maintain and update records, files, and databases, ensuring all documents are easily accessible.
- Travel and Logistics:
- Coordinate travel arrangements, including flights, hotels, and transportation for management.
- Organize logistics for events, meetings, conferences, and client visits.
- Client and Vendor Relations:
- Act as a point of contact for internal teams, clients, and vendors.
- Assist with inquiries, scheduling, and follow-ups with clients and suppliers as required.
- Office Management:
- Ensure the office runs smoothly by managing office supplies, equipment, and general administration.
- Handle office errands, such as courier services, document submissions, and other general tasks.
- Time Management:
- Prioritize tasks effectively and ensure deadlines are met.
- Anticipate needs of senior management and provide assistance before being asked.
- Confidentiality:
- Handle sensitive information and data with the utmost discretion and confidentiality.
Qualifications:
- Education: Graduate or equivalent qualification.
- Experience: 2 to 3 years of experience as a Personal Assistant, preferably in a manufacturing or industrial environment.
- Skills:
- Excellent communication skills (verbal and written).
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other office software.
- Ability to work independently and as part of a team.
- Strong attention to detail and problem-solving abilities.
- Personal Attributes:
- Professional and courteous demeanor.
- Highly dependable and trustworthy.
- Able to handle pressure and adapt to changing priorities.
