Key Responsibilities:

1. Patient Reception & Registration

  • Welcome patients and visitors in a courteous and professional manner.
  • Register new patients and update existing patient information accurately in the Hospital Management System (HMS).
  • Guide patients through the consultation and diagnostic processes.
  • Maintain confidentiality of patient information at all times.

2. Appointment & Scheduling

  • Manage appointment bookings for doctors and diagnostic services.
  • Coordinate with the medical and optical departments for scheduling and patient flow management.
  • Handle cancellations and rescheduling requests efficiently.

3. Billing & Payments

  • Prepare consultation, diagnostic, and procedure bills as per hospital policy.
  • Collect payments, issue receipts, and reconcile cash or digital transactions at the end of the shift.
  • Coordinate with the accounts department for billing queries or discrepancies.

4. Communication & Coordination

  • Answer incoming calls, respond to patient inquiries, and provide accurate information regarding services and timings.
  • Coordinate with nursing staff, optometrists, and doctors for smooth patient movement.
  • Inform patients about waiting times, delays, or special instructions politely and clearly.

5. Front Office Administration

  • Maintain cleanliness and order at the front desk and waiting area.
  • Ensure availability of patient forms, information leaflets, and registration materials.
