Core responsibilities

  • Communication and scheduling: Answer phones, screen calls, and direct inquiries. Schedule and coordinate meetings, appointments, and travel arrangements for executives and staff.
  • Document and information management: Handle incoming and outgoing mail, emails, and other correspondence. Create, edit, and proofread documents like memos, reports, and presentations. Maintain organized filing systems, databases, and contact lists.
  • Office administration: Order and manage office supplies, maintain office equipment, and ensure general office organization and cleanliness. Assist with tasks like data entry and basic bookkeeping or expense tracking.
  • Support and coordination: Provide administrative support to team members and departments. Assist with projects and help with onboarding new employees.

Necessary skills

  • Organizational skills: Ability to manage time effectively and prioritize tasks to meet deadlines.
  • Communication skills: Excellent verbal and written communication skills, including professional etiquette and grammar.
  • Technical proficiency: Competence in using office software, such as Microsoft Office Suite, for creating documents, spreadsheets, and presentations.
  • Attention to detail: Meticulousness in tasks to ensure accuracy in documents and records.
  • Problem-solving and flexibility: Ability to handle unexpected challenges and adapt to changing priorities.
