About Almawakening Foundation:

Almawakening Foundation is a purpose-led nonprofit dedicated to disability inclusion, emotional wellness, and social impact through education, advocacy, and storytelling. We are looking for a proactive and detail-oriented Executive Assistant to support our Founder, Alma Chopra, in day-to-day operations, communication, and scheduling.

Location: Sector 33, Gurgaon (In-Office)

Experience: 3-5 years

Working Hours: 2 PM to 11 PM (Monday to Saturday), 1st and 3rd Saturday Off

Type: Full-time

Key Responsibilities:

Executive Support (60%)

  • Manage the Founders daily calendar, schedule meetings, and coordinate appointments.
  • Prepare meeting notes, presentations, and briefing materials.
  • Organize travel, logistics, and accommodations for events and sessions.
  • Handle confidential information with discretion.
  • Track follow-ups and ensure timely completion of assigned action points.

Communication & Coordination (25%)

  • Serve as the communication bridge between the Founder and internal/external stakeholders.
  • Support content review and digital outreach efforts including email campaigns, social media planning, and content coordination.
  • Collaborate with design and content teams to align communication with Alma's voice and branding.
  • Draft and review emails, reports, and professional communication.
  • Coordinate with teams across departments to align priorities and ensure task closure.
  • Help manage public relations communication and event follow-ups.

Administrative & Strategic Support (15%)

  • Maintain key documents, databases, and filing systems.
  • Support project planning and assist in tracking organizational goals.
  • Help organize donor reports, presentations, and post-event documentation.
  • Provide support during workshops, retreats, and campaigns.

Required Qualifications & Skills:

  • Bachelor's or Master's degree in Business Administration.
  • 6 years of experience as an Executive Assistant or in a high-paced administrative role.
  • Strong proficiency in Google Workspace, Microsoft Office, and calendar/email management.
  • Exceptional organizational and time management skills.
  • Excellent verbal and written communication.
  • Ability to handle multiple priorities with a problem-solving mindset.

Preferred Experience:

  • Experience working directly with founders, CEOs, or leadership in mission-driven organizations.
  • Familiarity with content management, Canva, or CRM tools.
  • Strong interest in social impact, disability rights, or inclusion.
