Job Description:
The Bloom Energy Administrative team is seeking a highly motivated, experienced administrative/executive assistant to support executives onsite. This individual must have the ability to scale with a fast-growing company, including focusing on the immediate roles and responsibilities, as well as being able to take on additional roles and responsibilities as the company grows. This position is based in Bengaluru, India. This is a 5-day in-office role.
Roles & Responsibilities:
- Ability to manage complicated appointment calendars, schedule meetings, prepare meeting agendas, and monitor/communicate changes.
- Perform general administrative duties, including call screening, mail processing and file system development and maintenance, typing, faxing, copying, and mailing.
- Order refreshments for meetings (lunch/dinner), including picking up and delivering orders.
- Process all department invoices, prepare and maintain vendor invoice files, and track and process expense reports.
- Develop and edit correspondence
- Perform general administrative duties, including call screening, mail processing and file system development and maintenance, typing, faxing, copying, and mailing.
- Always exercise complete discretion and confidentiality.
- Work on special projects assigned by management.
- Follow through on external and internal calls and emails.
- Act as an information resource regarding company events.
- Keep track of office supplies and inventory and order items when necessary to maintain stock.
- Assist with filing, ordering, and pulling literature samples when needed for mailings and meetings.
- Drive teamwork and collaboration with other EAs by providing cross-support as needed.
Experience and qualifications:
- Must be able to respond appropriately and professionally to a variety of situations, including dealing with conflicting priorities and the handling of confidential information.
- Proficiency with Microsoft Office Suite (Word, Excel and PowerPoint) and Outlook is essential.
- Strong organizational skills, especially in creation and maintenance of departmental filing systems
- Ability to perform multiple tasks in a fast-paced environment, meeting deadlines with accurate results.
- Excellent communication skills (written and verbal) for effective interaction with all levels of staff division, the company, and external business partners.
- Ability to work well under pressure and is a good team player
- Experience working with US teams and time zones
- You have a history of excelling with little or no initial direction, proven by stellar references from prior hiring managers/customers.
- BA/BS with 8+ years of experience
