Role & responsibilities
Key Responsibilities:
Administrative & Executive Support:
Provide comprehensive administrative and secretarial support to the CMD.
- Manage daily schedules, appointments, meetings, and travel plans efficiently.
Handle correspondence, confidential documents, and communication on behalf of the CMD.
Coordination & Communication:
Act as a single point of contact between the CMD and internal departments, external stakeholders, and associates.
- Coordinate with plant heads, consultants, and vendors to ensure smooth information flow and timely execution of directives.
Prepare meeting agendas, minutes, and follow-up action reports.
Project & Operational Assistance:
Assist in monitoring ongoing projects, reviewing progress reports, and ensuring timely updates to the CMD.
- Support in data compilation, report preparation, and presentation drafting for management review meetings.
Maintain and track key deliverables and ensure deadlines are met.
Travel & Liaison Duties (Mandatory):
Frequent travel is mandatory to Shillong, Guwahati, and other project or plant locations as required by the CMD.
- Coordinate meetings, site visits, and external appointments on behalf of the CMD during travel.
Liaise with local teams, government offices, clients, and business associates for smooth coordination and communication.
Confidentiality & Professional Conduct:
Maintain utmost confidentiality regarding company strategies, discussions, and CMDs directives.
Represent the CMD's office with professionalism, discretion, and efficiency.
Follow-ups & Reporting:
Track progress on key initiatives assigned by the CMD and prepare weekly/monthly status reports.
Ensure timely reminders, updates, and feedback loops are maintained for all ongoing tasks.
Other Responsibilities:
Support in event coordination, corporate communication, and public relations activities when required.
- Handle any other assignments or special projects as directed by the CMD.
Preferred candidate profile
- Graduate / Post Graduate in Business Administration, Commerce, Arts, or related field.
- 5 to 10 years of experience as an Executive Assistant, Personal Secretary, or similar role supporting senior leadership.
- Willingness and flexibility to travel frequently within India and abroad.
- Strong liaison skills with experience interacting with government officials, corporate clients, and business partners.
- Excellent communication skills (verbal & written) with proficiency in drafting official correspondence.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with digital collaboration tools.
- Strong organizational and multitasking abilities with attention to detail.
- Ability to work under pressure, handle confidential information, and meet tight deadlines
- Professional appearance, corporate etiquette, and ability to represent the CMD in high-level meetings.
- Self-motivated, proactive, and able to work independently with minimal supervision.
