Role & responsibilities

Key Responsibilities:

  1. Administrative & Executive Support:

  2. Provide comprehensive administrative and secretarial support to the CMD.

  3. Manage daily schedules, appointments, meetings, and travel plans efficiently.
  4. Handle correspondence, confidential documents, and communication on behalf of the CMD.

  5. Coordination & Communication:

  6. Act as a single point of contact between the CMD and internal departments, external stakeholders, and associates.

  7. Coordinate with plant heads, consultants, and vendors to ensure smooth information flow and timely execution of directives.
  8. Prepare meeting agendas, minutes, and follow-up action reports.

  9. Project & Operational Assistance:

  10. Assist in monitoring ongoing projects, reviewing progress reports, and ensuring timely updates to the CMD.

  11. Support in data compilation, report preparation, and presentation drafting for management review meetings.
  12. Maintain and track key deliverables and ensure deadlines are met.

  13. Travel & Liaison Duties (Mandatory):

  14. Frequent travel is mandatory to Shillong, Guwahati, and other project or plant locations as required by the CMD.

  15. Coordinate meetings, site visits, and external appointments on behalf of the CMD during travel.
  16. Liaise with local teams, government offices, clients, and business associates for smooth coordination and communication.

  17. Confidentiality & Professional Conduct:

  18. Maintain utmost confidentiality regarding company strategies, discussions, and CMDs directives.

  19. Represent the CMD's office with professionalism, discretion, and efficiency.

  20. Follow-ups & Reporting:

  21. Track progress on key initiatives assigned by the CMD and prepare weekly/monthly status reports.

  22. Ensure timely reminders, updates, and feedback loops are maintained for all ongoing tasks.

  23. Other Responsibilities:

  24. Support in event coordination, corporate communication, and public relations activities when required.

  25. Handle any other assignments or special projects as directed by the CMD.

Preferred candidate profile

  • Graduate / Post Graduate in Business Administration, Commerce, Arts, or related field.
  • 5 to 10 years of experience as an Executive Assistant, Personal Secretary, or similar role supporting senior leadership.
  • Willingness and flexibility to travel frequently within India and abroad.
  • Strong liaison skills with experience interacting with government officials, corporate clients, and business partners.
  • Excellent communication skills (verbal & written) with proficiency in drafting official correspondence.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with digital collaboration tools.
  • Strong organizational and multitasking abilities with attention to detail.
  • Ability to work under pressure, handle confidential information, and meet tight deadlines
  • Professional appearance, corporate etiquette, and ability to represent the CMD in high-level meetings.
  • Self-motivated, proactive, and able to work independently with minimal supervision.
