Role Overview

The Executive Assistant (EA) will serve as the right hand to the COO, ensuring his time, energy, and priorities are optimized. This role requires someone with exceptional organizational skills, discretion, business acumen, and the ability to seamlessly manage communications, projects, and high-level engagements in a fast-paced environment.

THIS IS AN ONSITE ROLE IN DUBAI


Key Responsibilities

1. Calendar, Time & Priority Management

Ø Proactively manage the COOs schedule, ensuring all meetings are well-prepared with agendas, background notes, and briefing materials.

Ø Anticipate and resolve conflicts to maximize strategic use of COO's time.

2. Communication & Coordination

Ø Act as a primary liaison between the COO and internal/external stakeholders.

Ø Draft, review, and circulate correspondence, presentations, and meeting minutes.

Ø Follow up on delegated tasks, ensuring timely closure and accountability.

3. Confidential Information & Governance

Ø Handle sensitive business and personal matters with utmost confidentiality.

Ø Prepare and organize board packs, investor decks, and executive documentation.

4. Project & Task Tracking

Ø Monitor the COOs key initiatives and ensure departments provide regular updates.

Ø Maintain dashboards and trackers for task progress, deadlines, and escalations.

5. Travel & Event Management

Ø Plan and coordinate international/domestic travel, visas, hotels, and logistics.

Ø Prepare detailed briefing packs for events, conferences, and meetings.

Ø Ensure all expense reconciliations are submitted in a timely manner.

6. Personal Assistance

Ø Support COO with personal commitments, family engagements, and brand-related activities where required.

Ø Ensure seamless alignment between professional and personal priorities.

7. Continuous Improvement

Ø Recommend and implement productivity tools, processes, and systems for efficiency.

Ø Support adoption of digital tools (ERP, CRM, dashboards) in the COO office.


Qualifications & Experience

·      Bachelor's degree in business administration, Management, or related field.

·      5–8 years of experience as EA/Chief of Staff to CEO/Chairman/ COO (real estate or corporate sector preferred).

·      Strong organizational and project management skills.

·      Excellent written and verbal communication in English (Arabic is a plus).

·      High proficiency in MS Office, Google Workspace, CRM/ERP systems.

·      Discretion, integrity, and ability to manage confidential information
