Executive Assistant to COO

Position Overview:
We are seeking a highly organized and proactive Executive Assistant to support the Chief Operating Officer (COO) of Corporate Sales at Dainik Bhaskar. The ideal candidate will be responsible for managing the COO's schedule, facilitating communication, coordinating meetings, and ensuring smooth day-to-day operations. This role requires discretion, excellent communication skills, and the ability to handle multiple priorities efficiently, including managing reports and MIS data.
Key Responsibilities:
- Manage and maintain the COO's calendar, including scheduling appointments, meetings, and travel arrangements.
- Serve as the primary point of contact between the COO and internal/external stakeholders.
- Prepare and organize meeting agendas, notes, and follow-up actions promptly.
- Screen and prioritize incoming communication, ensuring timely responses and action.
- Facilitate coordination for corporate sales projects, initiatives, and client meetings.
- Support in preparing presentations, reports, and presentations for meetings and reviews.
- Handle and analyze reports and MIS data to provide insights and support decision-making processes.
- Develop a thorough understanding of sales data, performance metrics, and reports for effective reporting and MIS management.
- Manage and interpret complex data sets, ensuring accuracy and relevance of information presented.
- Handle confidential information with integrity and ensure data privacy.
- Assist in managing departmental workflows and ensuring deadlines are met.
- Support in coordinating internal and external communications related to corporate sales activities.
- Perform special assignments and projects as required by the COO.
Qualifications and Skills:
- Bachelor's degree in Business Administration, Management, or related field.
- Proven experience as an Executive Assistant or in a similar role, preferably within the media, advertising, or sales industry.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal skills.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint) and email management.
- Ability to analyze reports and MIS data, with understanding of basic data interpretation.
- Ability to multitask and work under pressure in a fast-paced environment.
- Discretion and confidentiality are essential.
- Proactive mindset with problem-solving capabilities.
Preferred Attributes:
- Prior experience in the corporate sales or media industry.
- Familiarity with sales reporting, MIS management, and data analysis tools.
- Multilingual skills (optional but advantageous).
