About the Role

We are seeking a proactive and detail-oriented
Office & Operations Administrator
to manage the day-to-day operations. This role is central to maintaining a professional, organized, and welcoming environment for clients, visitors, and staff. The ideal candidate will ensure smooth facility operations, uphold standards of hospitality, and support both administrative and operational functions.

Key ResponsibilitiesFront Desk & Visitor Management

  • Manage the front desk by greeting and assisting visitors, members, candidates, and vendors.
  • Maintain a clean, organized, and professional reception and common area.
  • Manage visitor flow and direct them to the appropriate departments or individuals.
  • Maintain accurate and up-to-date visitor logs and access records.

Client & Facility Management

  • Ensure clients use desks, meeting rooms, and other facilities strictly within their allotted time slots.
  • Monitor facility usage to prevent misuse or unauthorized access.
  • Handle manual bookings, reservations, and cancellations efficiently.
  • Accept payments, generate invoices, and maintain accurate ledger entries.
  • Maintain an up-to-date record of occupancy, client usage, and billing.

Office Operations & Inventory

  • Maintain office supplies and consumables such as water, coffee, tea, and stationery.
  • Ensure all common areas are well-stocked, organized, and presentable at all times.
  • Manage stay and rental agreements as required.
  • Coordinate food and refreshment orders for visitors and new joiners.

Administrative Support

  • Perform clerical duties such as filing, photocopying, scanning, and email correspondence.
  • Handle flight and accommodation bookings for company executives, new joiners, and international colleagues.
  • Support HR with onboarding activities, documentation, and logistics for new employees.
  • Assist in organizing employee engagement activities and office events.
  • Assist company executives with administrative and scheduling needs.

Recordkeeping & Confidentiality

  • Maintain ledgers, logs, and records related to visitors, invoices, and daily operations.
  • Ensure all financial and client data are handled with the highest level of confidentiality and accuracy.

Skills & Qualifications

  • Bachelor's degree in Business Administration (BBA) or related field preferred.
  • 2+ years of experience in office administration, coworking management, or hospitality preferred.
  • Excellent communication and interpersonal skills.
  • Strong organizational and multitasking abilities.
  • Basic knowledge of accounting, invoicing, and payment tracking.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and familiarity with coworking or booking management tools.
  • Professional, courteous, and customer-focused demeanor.
