Administrative Officer
Position Overview
The Administrative Officer plays a pivotal role in ensuring the smooth, efficient, and compliant functioning of the school s administrative operations. The position involves overseeing general administration, estate management, record-keeping, compliance, financial coordination, and support to all school departments. The Administrative Officer works closely with the Principal, Accounts Department, and other administrative and academic staff to maintain high operational standards across the institution.
Key Duties and Responsibilities
- Manage official correspondence, documentation, and file maintenance. Liaise with various departments, external agencies, and regulatory bodies. Handle incoming and outgoing mail with timely follow-up and appropriate action.
- Maintain personal files, service books, school records, and property documents. Organize and systematically maintain office records and files for easy retrieval and compliance.
- Assign duties and supervise office staff to ensure smooth workflow and efficiency. Oversee day-to-day administrative functions and coordinate inter-departmental communication.
- Supervise upkeep and maintenance of school buildings, grounds, and facilities. Prepare and maintain property records, progress reports, and proposals for maintenance or upgrades.
- Organize meetings of staff sub-committees for staff recruitment and administrative matters. Provide administrative support for events, staff requirements, and logistical arrangements.
- Handle legal and disciplinary cases in coordination with relevant authorities. Attend court proceedings and maintain liaison with legal departments as required.
- Coordinate with the Senior Accounts Officer for administrative financial matters. Assist in preparing financial reports and ensuring compliance with financial procedures. Oversee purchases, maintain fixed asset and stock registers, and ensure timely settlement of bills.
- Draft and submit administrative and purchase-related proposals. Supervise annual stock verification in collaboration with the stock-taking committee.
- Coordinate with the Transport Incharge to manage student transport, ensuring compliance with government norms and safety standards. Address parent queries related to transport services. Ensure safety and security of the campus, including CCTV surveillance, security personnel, and adherence to safety regulations.
- Oversee maintenance of cleanliness and hygiene across the campus as per institutional guidelines.
- Perform any other administrative duties assigned by the Head of the Institution.
Qualifications and Experience
- Bachelor s degree in Administration, Management, or a related field (Master s preferred).
- Minimum 5 years of experience in administration, preferably in an educational institution.
- Strong organizational, communication, and interpersonal skills.
- Familiarity with school systems, compliance procedures, and government regulations.
- Proficiency in MS Office and administrative management software.

Location: BBPS Neelbad, Bhopal
Work Schedule: Contract, on-campus, Retired Armed Forces Personnel Preferred
