**Position**: Front Desk Admin
**Location**: SkinEnvy Clinic
**Reports to**: Clinic Manager
**Overview**:
**Key Responsibilities**:
- **Client Reception & Assistance**:
- Greet and assist clients in a professional and welcoming manner.
- Schedule appointments, manage calendar, and ensure timely client service.
- Maintain client confidentiality and data privacy according to clinic policies.
- **Administrative Support**:
- Handle patient intake forms and update client records in the system.
- Process client payments, issue receipts, and manage cash register.
- Maintain an organized filing system for medical records, appointment logs, and other documentation.
- Manage inventory for office and clinic supplies.
- **Customer Service & Communication**:
- Address client queries or concerns and ensure a smooth experience.
- Provide information on treatments, promotions, and follow-up care to clients.
- Coordinate with medical and administrative staff to ensure smooth clinic operations.
- **Clinic Operations Support**:
- Ensure the front desk area is clean, organized, and well-stocked with necessary materials.
- Assist with the preparation of treatment rooms and set-up for clients.
- Perform light clerical tasks like faxing, filing, and data entry as required.
**Skills & Qualifications**:
- High school diploma or equivalent; further education or certification in administration preferred.
- Previous experience in a front desk or customer service role, ideally in a medical or aesthetic setting.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office and clinic management software (knowledge of CRM software is a plus).
- Strong organizational and multitasking abilities.
- Ability to handle sensitive client information with confidentiality.
- Positive, professional, and customer-focused attitude.
**Working Hours**:
- Full-time, with flexible hours to accommodate clinic schedules (including evenings and weekends if required).
