
Service-back Office Executive

**Job Overview**: The Service Back Office Executive is a key contributor to the service team, responsible for efficiently managing back-office operations related to spares, dispatch, customer communication, and project tracking. This role involves meticulous attention to detail and effective coordination with internal teams and customers.
**Responsibilities**:
**Spares Quotation**:
- Prepare and send quotations for spares as per customer requirements.
**Dispatch Instruction and Order Acceptance**:
- Generate dispatch instructions based on quotations and ensure order acceptances are processed promptly.
**Spares Report Update**:
- Maintain and update the Spares Quotation report.
- Regularly update the Dispatch Instruction File report.
**Proforma Invoice**:
- Create accurate proforma invoices in a timely manner.
**Requisition, Report, and Follow-up**:
- Issue requisitions and reports.
- Conduct follow-ups to ensure timely responses.
**MIR Posting**:
- Efficiently post Material Inspection Reports (MIR).
**Ledger Maintenance**:
- Maintain ledger records for accurate financial tracking.
**Material Issuance and Rejection Note**:
- Issue materials as required.
- Prepare rejection notes when necessary.
**Miscellaneous Tasks**:
- Manage catalog information.
- Assist the reception department.
- Coordinate and track courier services.
**Site Visit Planning**:
- Plan and organize site visits for new customers.
**Customer Communication**:
- Communicate with customers regarding planning, schedules, and cycle times.
- Establish strong follow-up mechanisms.
**Project % Tracking**:
- Track project progress as a percentage of completion according to cycle time and established processes.
**Proper Communication**:
- Ensure proper communication with customers regarding the scope of work, meeting minutes, and timely execution within the agreed-upon schedule.
**Erection Team Management**:
- Assist in the management of the erection team on-site for efficient project execution.
**Dispatch Clearance**:
- Oversee dispatch clearance processes.
**Qualifications**:
- Bachelor's degree or BE/BTech in Business, Engineering, or a related field.
- Proven experience in a service back-office or similar role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficient in using office software and tools.
