**Job Summary**

**Key Responsibilities**:Travel & Accommodation Management**
- Plan and manage travel itineraries, bookings, and stay arrangements for employees and management.
- Coordinate with vendors, hotels, and transport service providers.
- Maintain records of travel expenses and reimbursement forms.

**Meeting & Calendar Management**
- Schedule and organize internal/external meetings, client calls, and project discussions.
- Set reminders, prepare agendas, and circulate meeting minutes.
- Coordinate logistics for virtual and physical meetings (Zoom, Teams, conference rooms).

**IT & Software Coordination**
- Act as the first point of contact for internal IT-related issues.
- Maintain inventory of IT equipment (laptops, routers, printers, etc.).
- Track software licenses, subscriptions, and ensure timely renewals.

**Documentation & Record-Keeping**
- Manage and update physical and digital filing systems for employee records, project documents, agreements, etc.
- Ensure all statutory and company documents are filed, renewed, and compliant.
- Draft letters, internal memos, and circulars as needed.

**Google Sheets & Reporting**
- Prepare and maintain trackers, MIS reports, and logs using Google Sheets.
- Ensure accuracy and timely reporting of admin-related data.
- Collaborate with other departments to share and organize data.

**Vendor & Office Supplies Management**
- Liaise with vendors for procurement of office supplies, utilities, and maintenance services.
- Maintain a stock register and handle cost comparisons for routine purchases.
- Negotiate pricing and service terms where necessary.

**Facility Management**
- Oversee cleanliness, office maintenance, repairs, and office ambiance.
- Coordinate with housekeeping and ensure the office infrastructure is well-maintained.

**Support for HR/Admin Processes**
- Assist with onboarding arrangements (ID cards, workstations, document kits).
- Maintain attendance registers and leave records when required.
- Handle courier and dispatch records and tracking.

**Key Requirements**:

- Minimum **2 years of relevant administrative experience**.
- Strong proficiency in **Google Workspace** (Sheets, Docs, Drive, Calendar).
- Basic understanding of IT systems, software coordination, and office infrastructure.
- Excellent communication, organizational, and multitasking skills.
- Ability to handle confidential information with integrity.

**Preferred Qualifications**:

- Prior experience in the **renewable energy, EPC, or infrastructure** sectors.
