**Job Description: Personal Assistant to Operations Manager**

**Position Title**: Personal Assistant to Operations Manager
**Department**: Operations
**Reporting to**: Operations Manager

**Role Overview**

**Key ResponsibilitiesAdministrative Support**
- Manage the Operations Manager’s calendar, schedule meetings, and coordinate appointments.
- Prepare reports, presentations, and agendas for meetings.
- Maintain and organize files, records, and operational documents.

**Operational Assistance**
- Assist with tracking project timelines, deliverables, and milestones.
- Coordinate with internal departments and external stakeholders to support operational goals.
- Monitor and maintain inventory of office and operational supplies.
- Assist in preparing and following up on contracts, invoices, and budgets.

**Communication and Coordination**
- Serve as the first point of contact for internal and external queries.
- Relay messages and updates accurately and promptly.
- Facilitate seamless communication between the Operations Manager and other team members.

**Task Management**
- Prioritize and manage multiple assignments, ensuring deadlines are met.
- Actively follow up on tasks and projects to ensure progress.
- Propose solutions to streamline processes and improve efficiency.

**Qualifications and Skills**
- **Education**: Bachelor’s degree in Business Administration, Management, or a related field (preferred).
- **Experience**: Minimum 1 years of experience as a Personal Assistant, Executive Assistant, or similar role. Experience in operations or project management is an advantage.
- **Skills**:

- Excellent organizational and time-management skills.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other productivity tools.
- Ability to work independently with mínimal supervision.
- Strong problem-solving and decision-making abilities.
- **Attributes**:

- High level of professionalism, discretion, and integrity.
- Proactive, resourceful, and adaptable to changing priorities.
- Team-oriented with a positive attitude.

**Job Types**: Full-time, Permanent
