A Private Limited company situated in New Alipore want an Executive Assistant to the MD, who resides near to New Alipore.
An EA to the Managing Director (MD) provides high-level administrative and operational support, managing the MD's schedule, handling complex correspondence and travel, preparing documents and reports, acting as a key liaison with internal and external stakeholders, and assisting with strategic initiatives to ensure the smooth operation of the executive office. This role requires exceptional organizational, communication, and time management skills, along with discretion in handling confidential information.
Key Responsibilities:
- **Calendar & Schedule Management**:
Proactively manage and organize the MD's complex calendar, schedule meetings and appointments, and prepare for them by setting agendas and tracking action items.
- **Communication Management**:
- **Travel Coordination**:
Arrange all travel logistics, including flights, accommodation, and detailed itineraries, often managing visa requirements for complex or international travel.
- **Document & Presentation Preparation**:
Draft, edit, and prepare various documents, reports, presentations, and correspondence, ensuring they are professional and accurate.
- **Stakeholder Liaison**:
Act as a primary point of contact between the MD and other departments, clients, and external partners, facilitating effective communication and coordinating with them to achieve directives.
- **Administrative Support**:
Perform general administrative tasks such as managing filing systems, handling incoming and outgoing mail, and maintaining databases.
- **Meeting Coordination**:
Coordinate executive meetings, including strategic management group and board meetings, by booking rooms, arranging catering, and distributing papers and agendas.
- **Project & Initiative Support**:
Assist with the planning and execution of company events, strategic initiatives, and other special projects as assigned by the MD.
- **Confidentiality**:
Handle sensitive and confidential information with the utmost integrity and discretion, maintaining professionalism at all times.
Required Skills & Qualifications:
- **Strong Organizational & Time Management Skills**: The ability to manage multiple tasks and priorities efficiently in a fast-paced environment.
- **Excellent Communication Skills**: Both written and verbal communication skills are essential for effective correspondence and stakeholder interaction.
- **Discretion & Professionalism**: A high level of integrity and the ability to handle confidential information appropriately.
- **Attention to Detail**: Meticulousness in preparing documents and managing schedules.
- **Interpersonal Skills**: The ability to build and maintain strong relationships with a variety of individuals.
- **Technical Proficiency**: Familiarity with various software and office technologies.
- **Business Acumen**: Some positions may benefit from an understanding of business strategy, marketing, or specific industry knowledge.
Pay: ₹25,000.00 - ₹30,000.00 per month
