**Role and Responsibilities -**
- **Mandatory proficiency in social media management.**
- Collaborating and dealing with branding agencies for the company’s social media presence (e.g., LinkedIn, Instagram, etc.).
- Executing branding initiatives such as participation in exhibitions, membership organizations, event management, and various networking tasks as directed by management.
- Preparation of presentations and reports for both internal and external purposes.
- Recording Minutes of Meetings.
- Managing data boards and dashboards.
- Calendar Management: Coordinate and manage the MD's calendar, including scheduling appointments, meetings, and conference calls. Prioritize appointments and ensure the MD is briefed on all relevant information ahead of scheduled engagements.
- Travel Arrangements: Arrange domestic and international travel itineraries for the MD, including flights, accommodations, ground transportation, and visa processing. Anticipate travel needs and ensure all arrangements are made efficiently.
- Documentation and Filing: Maintain accurate records, files, and documentation related to the MD's activities, including confidential and sensitive information. Organize and manage electronic and physical filing systems for easy retrieval.
- Meeting Support: Prepare agendas, materials, and presentations for meetings attended by the MD. Take minutes, track action items, and follow up on outstanding tasks to ensure timely completion.
- Project Coordination: Assist the MD in coordinating and tracking progress on key projects and initiatives. Liaise with internal teams and external stakeholders to gather information, facilitate communication, and ensure deadlines are met.
- Relationship Management: Cultivate and maintain positive relationships with stakeholders, clients, and partners on behalf of the MD. Represent the MD at events, meetings, and other engagements as needed.
- Administrative Support: Provide general administrative support to the MD, including drafting correspondence, preparing reports, managing expenses, and handling other ad hoc tasks as assigned.
**Experience and Skills**
- Proven experience as an Executive Assistant or similar role, preferably in a corporate environment.
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills, with a high level of professionalism and discretion.
- Ability to work independently with mínimal supervision and maintain confidentiality.
- Flexibility to adapt to changing priorities and work outside regular business hours when necessary.
- Knowledge of the construction industry/ manufacturing industry or experience working in a similar industry would be an advantage.
