**The Challenge**
Working as part of the India Workplace team, the Workplace Coordinator is focused on maintaining housekeeping standards to a high level, providing a clean, sanitary and tidy office for all employees, contractors and guests.
**What You'll Take On**
- Welcoming visitors, clients and customers, directing them to the meeting/waiting area in a friendly and professional manner including providing refreshments.
- Maintaining visitor sign-in process including issuing temporary badges to employees, vendors, contractors, etc. Managing the security system - issuing, deducting and monitoring the security card system and reporting any issues.
- Ensure the reception desk and phones are covered at all times through effective organization and collaborating with your colleagues.
- Carry out early morning tasks on the daily checklist ensuring that the reception area and offices are adequately prepared, stocked and professional looking.
- Be responsible for the incoming, outgoing and distribution of incoming postal and courier at regular intervals.
- Provide support and local site report to workplace manager.
- Provide a first line of contact for workplace department for internal and external people. Ensure the offices are well maintained and presentable at all times and any meeting room scheduling conflicts are resolved.
- Manage cost effective solutions for all aspects of workplace - including supplies, couriers, office maintenance services etc.
- Manage the facilities helpdesk and respond to any enquiries in a timely manner and providing inquirer accurate information.
- Understanding intrusion alarm and CCTV systems and to look for any potential security issues on a daily basis.
- Provide recommendation and handles procurement of furniture, desk equipment and office supplies, overseen by the workplace manager.
- Processing all invoices and raising all POs for the workplace department.
- Drawing and keeping up to date floor plans of the building; also updating or creating a fire evacuation plan to display in the building.
- Carrying out new starter H&S inductions - to include first aid and fire safety information - responsible for the new starter process from the point of view of the Facilities team by working with HR to ensure all new starters are issued with relevant paperwork, swipe passes and keys, as well as carrying out health & safety inductions.
- Ensure all first aid delegates are trained and all certificates and training are up to date.
- Contract, price and supplier comparisons, making regular efforts to research all options for suppliers to get the best price and service, then liaising with workplace manager to put any changes in place.
- Event management & Workplace Programs - create office lunches for all employees to attend onsite, manage any meeting requests that come through from start to completion.
- Working closely with office cleaners and assist workplace manager in overseeing the office cleanliness and hygiene quality. Train them to stock up the daily pantry supplies and conference room reinstatement.
- Order and control stationery items for staff, sourcing items at best price possible in line with the budget.
- Office stationery supplies are stocked up daily.
- Be equipped with basic conferencing setup to support meeting / conference room users.
- Responsible for updates and maintenance of the reception manual on a regular basis.
- Attend internal meetings as required and provide updates on your area of responsibility upon requests.
**What You Bring**
- Work experience in a professional business environment is required. Experience of working for a Tech company is preferable. Available for overtime and weekend work.
- Ability to work under mínimal supervision.
- Ability to interact with vendors and external contacts in a professional manner.
- Must have the ability to work flexibly in order to respond to changing priorities.
